About the Role

We're looking for a highly organized and proactive Onboarding Specialist & Client Success Virtual Assistant who will become the primary point of contact for our clients after they sign on.

Your primary responsibility is to create an exceptional onboarding experience while ensuring every project is organized and ready for production. You'll help clients through our onboarding process, collect all necessary assets and information, coordinate communication between clients and our engineering team, and keep every project moving smoothly from start to finish.

This role is ideal for someone who enjoys customer service, organization, operations, and problem-solving. As our company grows, you'll grow with it, taking on additional responsibilities and becoming an integral part of our team.

Primary Responsibilities

Client Success & Onboarding

• Welcome new clients and provide a world-class first impression.
• Send welcome emails and schedule onboarding meetings.
• Conduct onboarding sessions and guide clients through our process.
• Collect all required information, assets, and account access needed to begin each project.
• Build strong client relationships through proactive communication.
• Follow up on missing information and keep projects moving forward.

Project Coordination

• Organize client files and project documentation.
• Coordinate communication between clients and our engineering team.
• Relay client requests and revisions.
• Track project progress and ensure deadlines are met.
• Keep Google Drive folders, CRM records, and internal systems organized.

Administrative & Operations Support

• Maintain accurate CRM records.
• Send invoices and confirm payments.
• Schedule meetings and manage calendars.
• Document meeting notes and action items.
• Organize project folders and internal documentation.
• Assist with improving workflows and internal systems.
• Support the founders with day-to-day operational tasks.

Business DNA Development

One of our signature services is helping businesses develop their complete digital identity. You'll assist clients with organizing and collecting:

• Brand story
• Mission and vision
• Target audience
• Frequently Asked Questions
• Brand messaging
• Keywords
• Logos
• Typography
• Color palettes
• Marketing assets
• Photos and videos

Client Education & Growth

As you become familiar with our services, you'll confidently educate clients on additional solutions that can help their business grow. This isn't about high-pressure sales—it's about understanding client needs and recommending services that provide genuine value.

Schedule

For the first two to three weeks, we're looking for someone available Monday through Friday from approximately 11:00 AM to 2:00 PM (U.S. Central Time) while we build and refine our onboarding systems.

Our goal is to transition this position into a full-time, 40-hour-per-week role as our client base continues to grow.

Compensation & Growth Opportunity

This position begins at $6 USD per hour during our initial start up phase.
