Marketing & Office Coordinator (Part-Time)

Responsibilities

• Greet visitors, customers, and candidates at the Aurora office and keep the reception area guest-ready
• Do a daily walk-through of the lobby, conference rooms, and break areas before guests arrive
• Prepare conference rooms for customer visits and demos, including cleanup
• Coordinate HQ visit welcome duties: email blast to the Chicago office and HQ TV welcome sign
• Manage office and marketing supply inventory and orders
• Support internal employee events, including food, setup, cleanup, and photos/content
• Develop and design campaign content, from concept to finished piece, in Canva and other design tools using SAVOYE North America brand templates: social graphics, infographics, email headers, flyers, one-pagers, brochures, case study layouts, and sales presentations
• Produce tradeshow materials such as banners, booth graphics, handouts, and signage, and coordinate print vendor orders and shipping with the booth vendor
• Keep the brand asset library organized and updated, including logos, photos, brochures, and videos
• Prepare materials for the sales team upon request

Requirements

• Associate’s or bachelor’s degree in marketing, communications, graphic design, or related field
• 1+ year of experience in supply chain, logistics, warehousing, distribution, or material handling, in marketing, operations, or administrative roles
• Strong working skill in Canva and Adobe, with a portfolio of 3–5 design samples
• Working skill in Microsoft Office (Outlook, Word, PowerPoint, Excel)
• Professional, friendly presence with guests and new employees
• Highly organized and detail-oriented, comfortable switching between office and creative work
• Able to work on site in Aurora on a set weekday schedule
• Able to lift and move up to 30 lbs (tradeshow boxes, supplies)

Preferred

• Video capture and editing (CapCut, Adobe Premiere, or similar)
• WordPress back-office experience: editing pages and posts, page builders, plugin and theme updates, media library, and basic SEO; basic HTML/CSS a plus
• Experience with design and content tools beyond Canva, such as Adobe Creative Cloud (Photoshop, Illustrator, InDesign, Adobe Express), Figma, Microsoft Designer, infographic tools like Visme or Piktochart, and AI-assisted design features like Adobe Firefly or Canva Magic Studio
• Experience supporting tradeshows or events
• Familiarity with B2B or industrial marketing
