Job Description

Responsibilities

  • Strategy, Planning & Intake
  • Drive the annual and quarterly planning process for assigned partners — partnering with the Marketing Strategist and translating the approved strategy into scoped program plans with defined workflows, work breakdown structures, phasing, and timelines.
  • Own the intake-to-kickoff process for new programs and projects, ensuring requests are properly evaluated, tiered, scoped, estimated, and resourced — and routed to the appropriate team before work enters production.
  • Design program and project architecture structures that align with best practice workflows and meet both operational and financial tracking needs within the approved PM platform.
  • Program & Project Execution
  • Manage the end-to-end execution of multi-channel marketing/fundraising programs and projects, ensuring all engagements are delivered on-quality, on-time, and on-budget.
  • Create and proactively manage program and project work-back schedules, ensuring work moves through established workflows with appropriate quality checkpoints, review gates, and approvals.
  • Manage program and project budgets, proactively identifying scope creep and facilitating change order processes when scope adjustments are required.
  • Coordinate with the Resource Manager to forecast resourcing needs, identify capacity constraints early, and determine when external vendor support is required to meet delivery commitments.
  • Identify outsourcing needs for programs and projects, procure and evaluate vendor estimates against approved budgets, manage purchase orders, and reconcile vendor invoices to ensure external work is delivered on-scope and on-budget.

Requirements

  • Education: Bachelor’s degree in Marketing, Business, Communications, or a related field or equivalent experience.
  • Experience: 10+ years of experience in program management, project management, or marketing operations within an in-house agency or marketing services environment. Non-profit or mission-driven organization experience preferred.
  • Technical Skills: Experience with Workamajig, Monday.com, Workfront, NetSuite, or other integrated operations tools.
