Job Description

Responsibilities

  • Own my calendar and inbox. Schedule it, protect it, resolve conflicts, and tell me when I have committed to something impossible. Sort what needs me from what doesn't, draft replies in my voice, and make sure nothing sits for a week because I never saw it.
  • Prepare me and then close the loop. Agenda, context, what was said last time, what I promised. Capture what comes out of the meeting and chase the follow-ups until they are actually done — including chasing me.
  • Speak for me. You will call clients, carriers, vendors, and partners on my behalf, and you will meet some of them in person. You need to be able to pick up the phone cold, be warm and professional in thirty seconds, get what we need, and leave the person glad they took the call. Nervous dialers do not last in this seat.
  • Follow up to get deals across the line. A signature, a document, a photo of a VIN, an answer from a carrier. You will be the one calling, texting, and emailing until we have it. Politely and persistently, and without needing me to remind you.
  • Get marketing materials where they need to be. Dropping packets and gifts at client and partner offices, keeping our materials stocked, and handling the small deliveries that never seem to get done. These are face-to-face visits, not drop-and-runs — you are representing us at the door.
  • Run the events. Trade shows, community events, carrier functions, and our own employee events — booth setup and teardown, registrations, giveaways, signage, catering, the packing list, and the follow-up afterward.
  • Handle travel, expenses, and paperwork. Registrations, reservations, receipts, and reimbursements — kept current instead of reconstructed in a panic at quarter end.
  • Run personal errands. Some of this job is not agency work. Appointments, scheduling, a run to the store for something I need. If that is uncomfortable for you, this is not the right position and I would rather you know now.
  • Know where things stand. When I ask "what happened with that," you should already know.

Requirements

  • You must be able to keep your mouth shut.
  • You have to be good with people, live. On the phone and face-to-face, with clients, carriers, vendors, and our team. Polished, warm, and confident without a script. If cold-calling a client to chase a document makes your stomach turn, this is the wrong seat.
  • Two or more years in an administrative, executive assistant, office manager, or event/marketing coordinator role. If you don't have that but you have run something complicated and kept it organized, tell me about it.
  • Strong writing. You will draft in my voice, and it needs to read like me and be free of errors.
  • Solid with technology, starting with Microsoft 365 — Outlook, Word, Excel, and Teams. You should already be comfortable living in Outlook, because my calendar and inbox are most of this job. Everything else in our stack we will teach you, and there is a lot of it.
  • Valid driver's license, reliable transportation, and willingness to drive for errands, deliveries, and events.
  • Ability to pass a background check and reference checks. Seriously, we will do them. If that is going to be embarrassing for either of us, you can stop reading now.
