About the Role: We run a profitable, fast-moving digital marketing and e-commerce agency built on modern tools and an AI-first mindset. This is not a coordination role — it’s an ownership role. You’ll work directly with leadership and operate with genuine autonomy across key functions: owning vendor relationships, managing our operational tool stack, and making independent decisions that directly affect how the business runs day-to-day while keeping our founders organized.

Responsibilities:

Vendor Relationship Management

  • Serve as the primary decision-maker for day-to-day vendor relationships, independently managing communications, issue resolution, and performance expectations
  • Evaluate vendor proposals and independently approve engagements and purchases up to an established dollar threshold
  • Negotiate routine contract terms, pricing adjustments, and service agreements within delegated authority
  • Assess vendor performance against defined SLAs and make independent decisions to continue, escalate, or transition vendor relationships
  • Maintain vendor documentation, contracts, and compliance records; escalate material contract decisions to leadership

Operational Systems Ownership

  • Evaluate new tools and platforms, make adoption recommendations to leadership, and independently manage implementation and onboarding
  • Troubleshoot system issues and independently determine whether to resolve internally or escalate to vendors
  • Assess technology needs and propose solutions aligned with business objectives

Process Design & Operational Improvement

  • Independently analyze current workflows to identify inefficiencies and design improved processes without step-by-step direction
  • Author, own, and maintain SOPs, process documentation, and training materials — exercising judgment on structure, scope, and content
  • Make independent decisions on how operational processes should be sequenced, resourced, and executed
  • Identify operational risks and proactively implement corrective measures within scope of authority
  • Establish quality control checkpoints and independently evaluate whether operational output meets standards

Financial & Administrative Authority

  • Monitor operational budgets, flag variances, and make independent decisions on routine expenditures
  • Manage procurement decisions for supplies, tools, and services within approved thresholds

Executive & Cross-Functional Support

  • Exercise independent judgment in prioritizing and routing communications between departments, vendors, and clients
  • Manage executive calendar and scheduling with authority to make commitment decisions on behalf of leadership for routine matters
  • Prepare agendas, briefing materials, and status reports — synthesizing information and making editorial judgments about what leadership needs to know
  • Coordinate internal meetings, events, and trainings, independently managing logistics from planning through execution
  • Assist founders with personal scheduling, appointments, and ad hoc personal needs requiring discretion and proactive follow-through
  • Support the GTM efforts and activities with regard to the business development team

People Operations Support

  • Independently manage candidate scheduling and screening logistics for open roles
  • Support HR and compliance documentation with discretion and accuracy

Qualifications:

  • Must be based in Orange County, California
  • Background supporting a founder or C-suite executive with delegated decision-making authority
  • 3+ years of experience in operations, administrative management, executive assistant, or a similar role with demonstrated independent responsibility
  • Proven track record of owning functional areas and making decisions without constant supervision
  • Experience managing vendor relationships including negotiation, performance management, and contract coordination
  • Demonstrated ability to design and improve operational processes, not just execute them
  • Strong judgment — knows when to act independently vs. when to escalate
  • Proficiency with Google Workspace; experience administering operational tools and platforms
  • Comfortable using AI tools (ChatGPT, Claude, etc.) to accelerate research and operational work
  • Experience in a digital marketing, e-commerce, or agency environment is preferred
  • Hands-on administration of CRM or project management platforms (Asana, Monday.com, HubSpot, Notion, etc.)
  • Exposure to TikTok Shop, Meta Ads, or social commerce operations is preferred
  • Experience authoring SOPs, process documentation, or operational playbooks from scratch

  • Base Salary Range: $71,000K–$80,000K per year, commensurate with experience, skills, and qualifications. Final compensation will be determined based on a variety of factors including relevant experience, depth of expertise, and business need.
