Job Description

Responsibilities

  • Resource Casting & Load-Balancing
  • Own resource casting across all programs, campaigns, and projects — matching appropriately skilled internal talent to each engagement based on skill set, availability, and development goals.
  • Maintain the cross-portfolio view of all work flowing through the department, enabling effective prioritization and capacity planning across concurrent engagements.
  • Monitor daily, weekly, and monthly resource allocations — proactively adjusting assignments to resolve over-allocations, bottlenecks, and competing priorities before they impact delivery.
  • Coordinate with Program Management to review work-back schedules, forecast resourcing needs, and determine when external vendor support is required to meet delivery commitments.
  • Vendor & Freelancer Management
  • Source, onboard, and manage vendor and freelancer relationships — building and maintaining a flexible bench of external partners to extend team capacity.
  • Maintain the approved vendor and freelancer list, ensuring all external partners meet department quality standards and are properly onboarded before work begins.
  • Negotiate freelancer and contractor rates, manage vendor contracts, and ensure all vendor paperwork is completed prior to commencement of work.
  • Review vendor and freelancer performance, providing feedback to external partners and making recommendations to retain, replace, or expand vendor relationships.

Requirements

  • Education: Bachelor’s degree in Marketing, Business, Communications, or a related field or equivalent experience.
  • Experience: 10+ years of experience in resource management, production management, or marketing operations within an external or in-house agency environment. Non-profit or mission-driven organization experience preferred.
  • Technical Skills: Experience with Workamajig, Monday.com, Workfront, NetSuite, or other integrated operations tools. Skilled in maintaining production calendars, load-balancing resources, and managing skill matrices.
