Job Description

Responsibilities

  • Evaluate prospective events, researching audience, industry relevance, costs, logistics, resources, risks, and success metrics to support leadership go/no-go decisions
  • Partner cross-functionally to validate requirements and translate approved events into production plans, timelines, checklists, assignments, contingencies, and run-of-show documents
  • Lead end-to-end event production, including logistics, shipping, travel, setup, live execution, teardown, and closeout
  • Coordinate internal teams, leadership, vendors, venues, contractors, equipment, hardware, freight, and event materials
  • Support booths, displays, signage, branded environments, demonstrations, and event swag logistics
  • Track budgets, purchasing, commitments, and actual spending, escalating potential overages
  • Serve as the primary on-site production lead, resolving issues in real time and coordinating participants and vendors
  • Manage post-event closeout, including vendor invoices, equipment returns, freight, asset storage, results, feedback, and lessons learned
  • Plan and coordinate photo and video shoots from concept through production wrap
  • Partner with creative teams to translate creative direction into production requirements

Requirements

  • 3+ years of professional experience producing corporate events, trade shows, experiential marketing programs, photo shoots, video shoots, or similar productions
  • Experience managing vendors, venues, schedules, budgets, travel, equipment, and on-site logistics
  • Experience developing production plans, timelines, checklists, run-of-show documents, call sheets, and contingency plans

Preferred

  • Experience planning and executing complex events or productions involving multiple internal and external stakeholders
  • Project management and organizational skills, including managing multiple priorities and meeting established deadlines
  • Experience researching and compiling complex information into clear, decision-ready event evaluations
  • Experience working independently in fast-paced environments and adapting to changing priorities or production requirements
  • Willingness and availability to travel, work outside standard business hours when required, and perform hands-on work during event setup, execution, teardown, and production activities
  • Experience supporting aerospace, robotics, automotive, advanced manufacturing, engineering, technology-focused organizations, or events involving vehicles, prototypes, large hardware, demonstrations, or engineering teams
  • Experience supporting trade shows, industry conferences, executive events, customer engagements, or government-related events, including coordinating production vendors, venues, photographers, videographers, talent, locations, and rental resources
