  • Drive budget tracking, reporting, and process improvements across events.

Job Description

Responsibilities

  • Vendor Sourcing & Management: Find, vet, and manage the vendors that bring events to life.
  • Contracts, POs & Budget Administration: Coordinate with Procurement, Legal, Finance, and vendors to move contracts and purchase orders forward, track approvals, and keep spend aligned to budget so FMMs don’t have to chase it.
  • Program Logistics & Production: Own the shipping, swag, and promotional execution, the physical work that makes an event actually happen.
  • Brand & Creative Coordination: Partner with Brand, Design, Content, and Web, in conjunction with the respective FMM, to manage event graphics, booth assets, promotional materials, registration pages, and production timelines.
  • SFDC Campaign Operations: Own campaign setup, registration, lead uploads, routing, and communications, the operational backbone of every campaign.
  • On-Site Event Execution: Be the steady hand running the show in the room when necessary, in support of FMMs.
  • Budget Tracking & Reconciliation: Know where every dollar went and be able to say so.
  • Reporting & Wrap Decks: Turn raw event data into a clean, digestible summary FMMs can hand to leadership.
  • Process Improvement: Maintain templates, documentation, vendor resources, and repeatable event workflows that improve consistency and help the team scale.
  • Travel: Manage assigned events on-site, supporting priority programs across the regional portfolio as needed.

Requirements

  • Relevant Experience: 2-4 years in event operations, field marketing, marketing operations, or a similar coordination-heavy role.
  • Multitasking Under Load: Comfortable juggling multiple vendors, budgets, and deadlines at once without dropping a ball.
  • Tool Fluency: Working knowledge of (or eagerness to learn) SFDC, Airtable, Cvent, and SplashThat.
  • Detail Orientation: The kind of person who notices the swag order is short before it becomes a problem.
  • Composure On-Site: Calm under pressure; events don’t run on a script.
  • Strong Communication: Strong written communication for cross-functional coordination with Ops, Content, Digital, Web, and Brand.
  • Service Mindset: A strong service mindset with the ability to manage expectations across multiple internal stakeholders.
  • Independent Execution: Able to work independently while keeping program owners informed.
  • Travel Flexibility: Able to travel approximately 25–40%, including occasional evenings and weekends, based on the event calendar.

Preferred

  • Pooled Model Experience: Prior experience in a shared-services or pooled-support model.
  • Enterprise B2B Exposure: Exposure to enterprise B2B field marketing or an ABM motion.
  • Sales Partnership: Experience partnering with Sales on event outreach, lead follow-up, or campaign execution.
  • Production Experience: Experience managing branded event assets, tradeshow booths, or promotional production.
