Events & Marketing Coordinator

Responsibilities

• Event Planning & Coordination
• Maintain the calendar for client events, prospect events, and company events.
• Coordinate educational events, appreciation events, open houses, team gatherings, and other firm activities.
• Research and reserve venues and coordinate catering, printing, supplies, and other vendors.
• Develop event timelines, checklists, budgets, and staffing plans.
• Coordinate mailing lists, print quantities, mail drops, and promotional deadlines.
• Keep staff informed of assignments, schedules, and event requirements.
• Registration & Attendee Communication
• Manage registration forms, attendee lists, confirmations, reminders, and event updates.
• Respond to attendee questions and communicate directions and logistical details.

Requirements

• Experience coordinating events from planning through execution and follow-up.
• Graphic design experience, with examples of materials personally created.
• Proficiency with Canva, Adobe Creative Suite, or comparable design tools.
• Strong organization, attention to detail, and deadline management.
• Warm, professional written and verbal communication.
• Experience coordinating vendors, budgets, and multiple assignments.
• Comfort using registration systems, spreadsheets, databases, and email platforms.
• Ability to take ownership, anticipate needs, and work independently while keeping the team informed.
• Experience in financial services, professional services, or hospitality is helpful but not required.
