Role:

The Director, Project Management is responsible for ensuring flawless, on-time delivery of projects. He/she will initially focus on a large, high-impact piece of business while managing one Project Manager and SPM (to be hired).The Director will be overseeing a project managers who help teams define project timelines, maintain status reports, create communications plans, help manage internal and external stakeholder expectations, facilitate commitment, financial management and productivity on the team, and assist the client team with resource management. The Director, Project Management, will work closely with the other disciplines in delivering and exceeding our stakeholders’ expectations.

This role will contribute to a positive and collaborative working environment to build and enhance working relationships with clients, external partners, and within the company. He/she will support the effort to use techniques that deliver better results and enforcing compliance to the project management best practices.

Key Responsibilities:

PROJECT MANAGEMENT

  • Monitor, evaluate, and supervise the workload of his/her project delivery team members
  • Serve as first point of escalation for Senior PMs, direct reports, and department leads on projects within his/her vertical
  • Development of full year and individual project SOWs (deliverables, assumptions, and estimates, addendums), accountable for the accuracy of all team SOWs
  • Partner with Finance, Resource Management and Creative Services to architect the proper cast across each scope
  • Demonstrate superior conflict resolution skills with a calm, measured approach that instills confidence across internal teams
  • Manage the project management methodology process, lead complex projects, and assist direct reports in leading projects to ensure complete, cost effective and timely implementation
  • Supporting and driving adherence to workflow management process improvements
  • Enforcing processes and protocols to maintain consistency and facilitate quality control (QA, proofreading, approvals)
  • Ensuring the efficient and appropriate use of resources within his/her vertical
  • Perform weekly timesheet management, financial reviews and reconciliations, and ensure compliance of the same practices for his/her team members
  • Lead and present monthly revenue forecast assessments for brands and portfolios in collaboration with account management leads

LEADERSHIP

  • Effectively collaborate with team capability leads
  • Attract, develop, and retain a superior highly capable people
  • Cross-train staff to ensure knowledge is spread across all team members
  • Manage and mentor the growth of direct reports
  • Ensure goals and metrics are outlined, and team members are properly supported in their role
  • Conduct interviews for PM candidates
  • Conduct 90 day and yearly reviews for direct reports
  • Conduct weekly check-ins with direct reports

MANDATORIES

  • Submit timesheets by EOD Friday every week and ensure the timely submission of direct reports
  • Include Manila PM whenever briefs/estimates/timelines are shared with department leads
  • Save all estimates and scope change documentation to Box within 24 hours of creation
  • Accountable for their PM team to complete nightly Manila spreadsheets every day
  • Consistently meet weekly 80% billability target and notify manager if there is capacity
  • Review, assess and prepare FAC reports prior to scheduled weekly meeting time
  • Development and review of high complexity project estimates and timelines
  • Development of annual client/brand Gantt requests
  • Only deviate from internal processes with approval from relevant department leads. Proactively sees opportunities to adjust processes for efficiencies.
  • Arrive at all meetings on time, and provide advance notice in the event of a delay

Qualifications

  • 10 to 15 years of relevant experience, preferably in an agency setting (healthcare preferred)
  • PMP or CSM certification a plus
  • 5+ yrs of team management exp, with previous direct reports
  • Proficiency using project management software programs
  • Strong familiarity with project management methodologies, and best practices
  • Bachelor’s degree in business or a related field
  • Experience working with dynamic teams and within different disciplines
  • A proven track record of leading complex project and portfolios
  • Experience working with hybrid and virtual teams
  • Strong interpersonal skills and extremely resourceful
  • Proven ability to complete projects according to outlined scope, budget, and timeline
  • Strong Negotiation and Conflict Management skills
  • Strong verbal and written communication skills
  • Exceptional attention to detail
  • Excellent time management skill
