Job Description

Position: Senior Producer

Location: Remote, operating within a time zone supportive of Creative Riff’s core business hours (between Eastern and Pacific U.S.)

Reports to:  Head of production / Executive Producer

Creative Riff is an experiential marketing agency designing immersive brand worlds and fan-driven experiences. Our work lives at the intersection of entertainment, brand storytelling, and physical environments, bringing ideas to life through scenic builds, activations, and large-scale cultural events.

Role Description

As a Senior Producer at our experiential marketing company, you'll lead project execution from start to finish. With expertise in budgeting, vendor management, venue coordination, and strategic leadership. This role demands a seasoned professional skilled in budget management, contract negotiation, and exceptional leadership. Integral to success is your ability to creatively problem-solve, adapt to changing scenarios, and infuse innovation into projects, ensuring unparalleled experiences for our clients.

Leadership & Team Management

  • Lead and manage the project's production team from conception to execution, guiding junior and assembling necessary team members for project success 

Cross Functional Collaboration

  • Collaborate with all teams to ensure that proposed ideas can be effectively and efficiently brought to life while meeting all target milestones.

Client Relationships & Management

  • Cultivate and maintain strong client relationships, understanding their objectives and expectations.
  • Serve as the Production point of contact for all projects, participate in and document client meetings and conference calls, leading when required in coordination with the Account Lead.

Project Planning & Management

  • Provide production services for pitches, RFPs, and SOWs regarding budget, timeline, and workback schedules, maintain updated project status using project management tools.

Budget & Finance

  • Create comprehensive staff plans and project estimates, incorporating all expenses, margins, and contingencies for profitable outcomes, including appropriate detail to be communicated to the client
  • Manage budgets ranging from $500k to $3MM+, tracking expenses against approved budgets and communicate scope increases to finance and clients in coordination with account lead.

Fabrication Feasibility & Management

  • Evaluate the feasibility of creative concepts and designs in terms of fabrication.
  • Collaborate with fabrication partners and the technical team to ensure build drawings meet engineering requirements.

Vendor Management

  • Manage vendor outreach and manage Supplier RFPs, review pricing, and verify all requirements are included
  • Negotiate detailed contracts with vendors.

Venue Management

  • Manage venue outreach and manage Supplier RFPs, review pricing, and verify all requirements are included
  • Negotiate detailed contracts with venues.
  • Develop comprehensive logistics plans for the venue, including load-in/load-out schedules, parking arrangements, and equipment placement.

Logistics

  • Oversee all aspects of event production in pre-production and onsite including, but not limited to fabrication, permitting, labor, print production, power, heavy equipment, WiFi, storage, shipping, supplies, staffing, custom dĂ©cor items, tech, trucking, lighting, A/V as per budget constraints

Risk Mitigation & Quality Assurance

  • Create and implement contingency plans in case of unforeseen delays or issues as well as emergency response protocols.

Permitting & Regulatory Compliance

  • Obtain necessary permits and approvals for events, adhering to local regulations and safety standards ensuring compliance with zoning laws, occupancy limits, and other legal requirements.

Post-Activation Documentation & Reporting

  • Lead all post-program reporting and budget reconciliation efforts. Work with Finance to ensure proper billing and payment for services rendered and all program expenses match final client budget
  • Advise on any key learnings or insights for program recap and ensure final close out of the program including budget reconciliation, inventory, shipping or disposal of event assets

Qualifications & Expectations: 

  • 7+ years of proven agency event production experience required
  • 3-4 years of Senior Producer experience
  • Highly organized, Self starter with strong project management skills and keen attention to detail
  • Proficiency in Google workspace, sheets, docs, slides
  • Experience implementing and sourcing design partners and elements
  • High standards, strong work ethic and enjoy working in team environments
  • Positive outlook and a “can do” approach to work
  • Travel required: location scouting, site visits, onsite work is mandatory
