Role Overview

This is a dual-role position combining operations management and social media execution.

The Operations & Social Media Assistant is responsible for ensuring seamless day-to-day business operations while also supporting consistent, on-brand digital presence across all platforms. This role plays a key part in client experience, sales performance, and brand visibility.

Core ResponsibilitiesClient Experience & Operations
  • Oversee daily schedule flow and ensure appointments run efficiently
  • Manage client check-ins, consultations, and overall experience
  • Maintain a private, elevated environment for all clients
  • Handle client concerns with professionalism and discretion
Sales & Conversions
  • Drive consultation-to-service conversions
  • Guide clients through treatment options, pricing, and next steps
  • Follow up with leads and maintain the sales pipeline
  • Identify upsell opportunities across services and products
  • Track and report on conversion rates, revenue, and retention
Social Media & Brand Support
  • Assist in executing weekly social media content (posts, stories, reels)
  • Capture in-clinic content (before/afters, client moments, educational content)
  • Ensure content aligns with brand voice, quality, and messaging
  • Monitor and respond to DMs, comments, and inquiries in a timely manner
  • Support ManyChat flows and flag any issues or missed opportunities
  • Coordinate with leadership on upcoming campaigns, launches, and promotions
  • Track basic performance metrics (engagement, inquiries, conversions from social)
Team Support & Accountability
  • Support stylists and specialists in service delivery and sales performance
  • Ensure adherence to service standards, client experience, and sales goals
  • Assist with onboarding and training coordination
Administrative & Systems Management
  • Manage booking systems, confirmations, and follow-ups
  • Maintain accurate client records and documentation
  • Oversee workflows across platforms (Calendly, Monday, Google Drive, etc.)
  • Track key metrics: appointments, conversions, revenue, and retention
Inventory & Product Management
  • Monitor inventory levels and coordinate ordering
  • Maintain organization of hair, products, and client-specific inventory
  • Support retail sales and product recommendations
Weekly Structure (Tuesday–Saturday)

Tuesday – Planning & Content Prep

  • Review sales pipeline, KPIs, and weekly priorities
  • Complete lead follow-ups and confirm upcoming appointments
  • Plan and schedule social media content for the week
  • Handle admin tasks and inventory checks

Wednesday – Friday – Execution

  • Oversee client experience and daily flow
  • Support consultations and actively close services
  • Capture and post real-time content in clinic
  • Ensure follow-ups, DMs, and rebooking are completed
  • Manage real-time scheduling and operational needs

Saturday – Peak Day

  • Maximize conversions and revenue
  • Ensure seamless, high-touch client experience
  • Capture high-value content (transformations, testimonials)
  • Secure rebookings and future appointments
  • End-of-week recap: performance, gaps, and follow-ups
