Job Description

Job Summary

The Media Administrative Assistant supports the Media Team by managing schedules, tracking media advertising budget, assisting with billing, social media and coordinates campaign materials and media assets. Overall, this individual maintains media schedules across digital and traditional platforms, handles client communication, and assists with billing and reporting, requiring proficiency in social media.

Responsibilities

  • Media and Traffic Management: coordinate ad placements, manage insertion orders and ensure advertising materials are delivered to media outlets on time. Traffic instruction for tv, radio, print and outdoor, proof of performance.
  • Campaign assistance: support campaign development through research, basic content creation, social media scheduling and monitoring performance metrics. Meta check ins, review messages, answer comments, hide and/or respond to negative comments, keep schedule of posts.
  • Budget and Billing Tracking: Maintain records of advertising expenses, coordinate with vendors, and prepare billing documents. Organize all client billing spreadsheets monthly. Reach out to vendors for invoices and proof of performance. Audit for all monthly recaps.
  • Other duties as assigned

Experience and Competencies

  • Associate or bachelor’s degree in marketing, communications or business preferred
  • One year of related experience to the statement of responsibilities
  • Proficiency in MS Office Suite (Gmail, Google Docs, Word, Excel, Power Point) and experience with social media platforms (Facebook, Instagram, LinkedIn)
  • Highly accurate and strong attention to detail
  • Ability to prioritize and handle multiple tasks in a changing work environment
  • Excellent written and verbal communication and simple math skills
  • Ability to work independently and on a team
  • Ability to articulate clearly in a professional manner via verbal and written communication
  • Understands how to separate and combine tasks into efficient work flow; can simplify complex processes; gets more out of fewer resources
