Own end-to-end marketing operations for product assets, catalogs, packaging, and events, coordinating cross-functional workflows and asset delivery.

  • Drive asset workflows and PDP/copy coordination.
  • Manage DAM, sample logistics, packaging art updates, and tradeshow assets.

Job Description

Responsibilities

  • Coordinate product-level marketing asset workflows. Manage the seasonal process for product photography scheduling, asset delivery, and distribution. Coordinate PDP copy briefing, copywriting handoffs, QA review, and final upload to ecommerce and digital platforms. Ensure all product assets meet channel specs and seasonal deadlines.
  • Support catalog planning and production. Track seasonal catalog timelines, coordinate with print vendors and internal stakeholders on production schedules, manage proofing and approval cycles, and ensure final print and digital files are delivered on time and to spec.
  • Maintain the team's digital asset management (DAM) system. Organize, tag, and distribute finished assets using consistent naming conventions and version control. Serve as the internal resource for asset location, usage rights, and status. Keep the DAM current so teams spend time using assets, not searching for them.
  • Manage sample logistics for photo shoots and marketing activations. Coordinate with Product and Operations to ensure samples are available, tracked, and returned on schedule. Communicate status proactively to Creative and Brand teams.
  • Coordinate the on-product marketing (packaging) program. Manage seasonal refresh of packaging artwork (box labels, hang tags, warranty cards, and other inserts) and handle unique process items such as SMUs and collaborations. Communicate artwork needs and timelines to the Portland factory and global partners, and maintain awareness of packaging legal and regulatory requirements. Partner closely with Compliance, Customs & Logistics team, as they remain the primary factory contact and own customs, legal, and compliance process. Update the packaging manual as needed when new artwork is developed. Ensure teams have what they need before they know they need it.
  • Coordinate tradeshow marketing assets and production timelines. Working with the Show & Event Coordinator build and track production schedules and deadlines for booth graphics and on-site materials. Manage multiple concurrent shows with competing timelines, surface conflicts early, and coordinate logistics and delivery with Sales, Channel, and the Creative Producer.
  • Coordinate sales-meeting and wholesale sell-in assets. Manage the production timeline and logistics for seasonal sell-in toolkit assets, working deadlines back from the sales-meeting date in coordination with Sales, Channel, and the broader marketing team.
  • Support project intake and workflow management. Assist the Marketing Program Manager in tracking project status, maintaining project boards, and communicating updates to relevant stakeholders. Identify when a project is at risk and flag it early.
  • Process purchase requisitions and vendor coordination. Generate purchase requisitions for marketing projects; coordinate with vendors on production timelines, proof deliveries, and approvals; process invoices in partnership with the Marketing Program Manager and Finance.
  • Provide clear, timely communication on project status, asset availability, and event logistics to Brand, Channel, and Creative teams.

Requirements

  • Education in marketing, communications, business, or a related field; bachelor's degree preferred.
  • 1-3 years of experience in marketing, project coordination, production, or operations in a similar environment.
  • Exceptional organizational skills and attention to detail - highly accurate with product names, specs, file naming, and deadlines.
  • Experience with project management tools such as such as Opal, Basecamp or similar. Able to maintain project boards and communicate status clearly.
  • Familiarity with digital asset management systems and basic principles of file organization, naming conventions, and version control.
  • Proficiency in Microsoft Office / 365; Mac proficiency preferred.
  • Experience coordinating with internal teams and external vendors; comfortable managing multiple active requests simultaneously.
  • Strong written and verbal communication; follows through consistently and proactively communicates status without being asked.
