Job Description

Responsibilities

Assist the Marketing Event Manager with planning and executing virtual, hybrid, and in-person events in the United States and Canada.
Coordinate event logistics (e.g., rooming lists, F&B orders, A/V needs) and manage event budgets, tracking expenses, paying invoices, and following up with vendors.
Support event location sourcing and research.
Coordinate travel logistics (flights, hotels) for internal teams and C-suite leadership as needed.
Ensure brand consistency across all event touchpoints (invitations, swag, on-site visuals) and assist in developing branded event materials.
Collaborate with design teams/vendors to create visually compelling assets (signage, presentations, digital assets).
Manage branded merchandise inventory.
Source and manage creative assets (logos, photography, templates).
Contribute creative ideas for event themes and attendee engagement.
Help research and maintain a calendar of industry events.

Requirements

Bachelor’s degree.
0-1 years of experience (relevant internships, volunteer work, or university event planning experience accepted).
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite.
Excellent organizational, time management, and communication (verbal and written) skills.
Ability to handle multiple tasks and deadlines.
A positive, team-oriented attitude and a proactive approach to problem-solving.
Willingness to learn new design and project management tools (e.g., ClickUp).
Ability to travel approximately 10-20% and flexibility to occasionally work nights/weekends for on-site events.

An eye for design or experience with tools like Adobe Creative Suite
Interest or experience in branding and visual storytelling
