Job Overview

We are seeking an energetic and detail-oriented Front Desk & Social Media Coordinator to serve as the welcoming face of our organization and elevate our online presence. The position combines front desk and student experience coordination with social media and broader communications responsibilities to strengthen community connection, student engagement, brand awareness, program visibility, and storytelling.

Working collaboratively with the Student Center for Professional Development and other School leadership, the Coordinator balances day-to-day reception and administrative support with communications planning and execution across social media, email, web, events, digital and print materials, campaigns, and special initiatives. A successful candidate models hospitality behavior and helps create a warm, responsive, inclusive environment for the Payne School community.

Key Responsibilities

  • Greet visitors and clients warmly, answer multi-line phone systems with professionalism, and direct calls using proper phone etiquette.
  • Manage front desk operations including filing, data entry, and maintaining office supplies to ensure an organized workspace.
  • Oversee daily office tasks such as scheduling appointments, handling correspondence, and supporting administrative needs with accuracy and efficiency.
  • Create, curate, and post engaging content across various social media platforms to promote our brand, events, and community initiatives.
  • Monitor social media channels for comments or inquiries, respond promptly to foster positive engagement, and track analytics to measure outreach success.
  • Proofread and edit digital content for clarity, consistency, and professionalism before publishing.
  • Support client communication efforts by providing excellent customer service both in person and online.

Requirements

Front Desk, Administrative & Community Support - 35%

  • Provide front desk reception and serve as a central point of contact for students, faculty, staff, visitors, employers, and VIP guests; screen and route calls and inquiries appropriately.
  • Create a welcoming, hospitality-centered environment and provide responsive customer service to prospective, incoming, and current students.
  • Schedule meetings and special events; assist with calendar coordination; maintain orderly shared office and reception spaces.
  • Prepare correspondence, documents, reports, spreadsheets, presentations, and other materials using Microsoft Office and Google Workspace.
  • Maintain and track student, internship, employer, event, and other program records and databases; support filing and shared documentation systems.
  • Assist with routine operational processes such as travel forms, tracking supplies, copying, scanning, and other administrative workflows.
  • Track projects, deadlines, approvals, and deliverables across recurring and project-based responsibilities.

Student Experience & Professional Development - 25%

  • Partner with the Student Center for Professional Development to support prospective, incoming, and current students throughout their experience in the Payne School.
  • Support student onboarding, information sharing, employer visits, student trips, career and internship programming, recruitment activities, and social events for student groups.
  • Distribute timely student information through email, social media, newsletters, digital platforms, and other established communication channels.
  • Assist with internship courses and maintain internship and student databases and related records.
  • Coordinate with student employees, advisors, volunteers, staff, and partners to ensure a consistent and welcoming student and visitor experience.
  • Identify opportunities to strengthen student belonging, participation, awareness of resources, and connection to School programs and events.

Marketing, Social Media & Digital Communications - 25%

  • Support annual marketing and communications planning and maintain content, social media, campaign, and event communications calendars.
  • Manage and develop content for platforms such as Instagram, LinkedIn, Facebook, TikTok, and other channels identified by the School.
  • Plan, create, schedule, and publish social media content for storytelling, education, recruitment, student engagement, program visibility, and community building.
  • Monitor comments, messages, and audience engagement and respond or route inquiries in the School’s established voice and tone.
  • Maintain and update website content, including program information, announcements, events, news, student resources, and organizational updates.
  • Support organic and paid digital campaigns as needed and coordinate campaign messaging and execution across channels.

Content, Email, Events & Brand - 15%

  • Develop written and visual content highlighting students, alumni, faculty, staff, programs, events, accomplishments, partnerships, and School impact.
  • Identify storytelling opportunities and coordinate interviews, photography, video, statistics, testimonials, and other supporting assets.
  • Write, edit, and proofread content for websites, email, newsletters, social media, print materials, presentations, signage, flyers, brochures, and other communications.
  • Develop and distribute email communications, announcements, newsletters, invitations, and promotional campaigns; support segmentation, scheduling, testing, review, and approvals.
  • Support pre-event, event-day, and post-event communications for programs, recruitment efforts, employer activities, student events, and special initiatives.
  • Create or coordinate digital graphics, marketing collateral, photography, videography, presentations, and signage using established brand standards.
  • Manage and organize photos, videos, templates, graphics, and shared creative assets; help staff follow brand and communications standards.

QUALIFICATIONS AND SPECIAL SKILLS

Knowledge and Abilities

  • Strong written and verbal communication skills, including copywriting, editing, proofreading, and storytelling.
  • Ability to provide excellent customer service and create a welcoming environment for students, visitors, employers, and community partners.
  • Experience creating content for social media, websites, email, digital platforms, and/or print communications.
  • Ability to manage multiple projects, priorities, deadlines, and frequent interruptions with organization, flexibility, and attention to detail.
  • Ability to exercise independent judgment, discretion, initiative, and sound problem-solving skills.
  • Ability to collaborate effectively across teams and communicate with diverse audiences with a high level of cross-cultural sensitivity.
  • Knowledge of standard office procedures, equipment, and support technology, including Microsoft Office and/or Google Workspace.
  • Ability to work independently while contributing effectively in a collaborative environment.
  • Ability to learn and apply organizational brand standards, communications processes, and technology systems.

Experience

  • Experience in communications, marketing, social media, public relations, digital marketing, customer service, administrative support, or a related environment.
  • Demonstrated experience coordinating multiple responsibilities, projects, or events in a deadline-driven setting.

Education

  • High school diploma, GED, or equivalent required. Additional education or training in communications, marketing, hospitality, business, or a related field is desirable.

PREFERRED QUALIFICATIONS AND SPECIAL SKILLS

  • One or more years of customer service, clerical, administrative, communications, marketing, or social media experience.
  • Experience in hospitality, higher education, student services, career development, or a related environment.
  • Experience with Canva or similar design platforms; email marketing platforms such as Constant Contact; and website content management systems.
  • Experience managing Instagram, LinkedIn, Facebook, TikTok, or comparable social channels.
  • Experience with project management tools, shared file systems, digital analytics, and social media reporting tools.
  • Basic photography, video filming/editing, or multimedia content development skills.
  • Experience with basic bookkeeping or administrative financial processes.

Pay: $22.00 - $26.00 per hour
