Responsibilities

• Front Desk & Patient Experience: Serve as the first point of contact for patients and guests
• Front Desk & Patient Experience: Answer phones, schedule appointments, and manage patient communications
• Front Desk & Patient Experience: Check patients in and out while maintaining a luxury concierge-level experience
• Front Desk & Patient Experience: Handle patient inquiries with professionalism, discretion, and warmth
• Front Desk & Patient Experience: Coordinate consultations, treatment schedules, and follow-up communications
• Front Desk & Patient Experience: Maintain a welcoming, organized, and immaculate reception area
• Assistant Patient Care Coordinator: Willingness to train as a backup Patient Care Coordinator, as needed, helping guide patients through every stage of their aesthetic journey, from initial inquiry through post-procedure follow-up
• Assistant Patient Care Coordinator: Coordinate consultations, treatment plans, financing discussions, scheduling, and patient communications
• Assistant Patient Care Coordinator: Build strong relationships with patients to ensure a personalized, concierge-level experience, serving a trusted resource
• Assistant Patient Care Coordinator: Follow up with prospective patients to answer questions, provide education, and assist with scheduling treatment plans

Requirements

• 3+ years of experience in a professional administrative, executive assistant, medical office, luxury hospitality, or customer-facing role
• Strong computer skills including Microsoft Office, Google Workspace, Canva, social media platforms, and CRM/scheduling software
• Outstanding communication and customer service skills
• Excellent organizational and multitasking abilities
• Professional appearance and demeanor
• Ability to work independently and take initiative
• Strong attention to detail and follow-through

Preferred

• Experience in a plastic surgery, aesthetics, dermatology, cosmetic dentistry, medical spa, or luxury wellness setting
• Event planning experience
• Social media content creation experience
• Marketing and promotional design experience
• Familiarity with patient management software and EMR systems
• Experience with skincare, injectables, laser treatments, or cosmetic procedures
