Job Description

Responsibilities

  • Own every event-related element from initial design concept through on-site execution and strike.
  • Serve as primary point of contact for all vendors, including A/V, fabrication, catering, security, transportation, staffing, venues and rentals. Source, negotiate, contract and manage them to deadline and budget.
  • Secure all permits, insurance and approvals, including NYC-specific permitting for venues, street use, fabrication and public-facing activations.
  • Build contingency plans for every event: weather, talent changes, vendor failure, security, crowd flow and technical outages.
  • Lead programming strategy and content development, including session formats, themes and flow in partnership with CEO.
  • Own speaker and talent booking, from outreach and confirmation through briefing, prep and day-of management.
  • Write and own the run of show, down to cue-level detail, for every event.
  • Oversee sponsorship activation and executional plans, ensuring every contracted deliverable is produced and documented.
  • Partner with the Head of Sponsorship Sales on proposals, sponsor meetings, status updates and post-event recaps.
  • Protect sponsor experience on site as a top priority.

Requirements

  • 7+ years as an event producer or in an equivalent event leadership role, including end-to-end ownership of at least one flagship conference or summit. B2B and/or sports experience is a plus!
  • Direct experience managing talent and sponsors, including speaker booking and sponsor activation.
  • Working knowledge of NYC permitting regulations and processes.
  • An established network across the event freelance and vendor community, ready to be called on.
  • Proven budget ownership, including building, tracking and reconciling event budgets.
  • Experience leading teams and third-party partners across multiple concurrent workstreams.

Preferred

  • Experience producing events in sports, media, marketing or the brand/agency world.
  • International production experience, ideally including Cannes Lions.
  • Passion for women's sports and the business behind it.
