WHAT YOU’LL DO

Calendar & Scheduling

  • Own and structure Sanja’s calendar to protect deep work and maximize efficiency
  • Manage real-time calendar shifts, prioritizing based on urgency and impact
  • Coordinate scheduling across internal team, clients, and external partners
  • Support select personal scheduling (dinners, events, etc.)

Inbox & Communication Management

  • Monitor inbox and flag priority emails that require Sanja’s attention
  • Track responses and follow-ups to keep communication moving
  • Maintain organized priority lists (Slack or shared docs)
  • Draft clear, concise emails on Sanja’s behalf
  • Ensure timely follow-ups across all threads

External Partner Coordination & Relationship Management

  • Support communication and scheduling with external partners (PR, collaborators, etc.)
  • Gather and relay key information to Sanja in a clear, actionable way
  • Track invoices and ensure monthly payments are processed on time
  • Support client gifting moments:
  • Welcome kits
  • Thank you gifts
  • In-room touches for events
  • Ensure each touchpoint feels intentional and on-brand

Travel & Logistics

  • Book business and personal travel (flights, hotels, cars, reservations)
  • Book and manage production travel for talent and crew
  • Build detailed itineraries and “Know Before You Go” briefs to ensure seamless logistics across all travel moments

Internal Operations

  • Manage team calendar visibility, including OOO tracking
  • Support onboarding (Slack, Gmail, tools, tech setup)
  • Help coordinate company-wide meetings and internal moments
  • Monitor Slack and Monday boards, flagging urgency where needed
  • Ensure internal follow-ups and next steps are completed

ONA Digital & Content Workflow

  • Manage Sanja’s LinkedIn workflow from drafting to posting
  • Organize content in batches for review and scheduling
  • Post approved content and notify when live
  • Work back with team to maintain consistent output across:
  • ONA Instagram
  • Email marketing
  • Behance
  • ONAcreative.com

Admin & Systems Management

  • Manage subscriptions and payments (Figma, Frame, etc.)
  • Track expenses via Expensify
  • Maintain organized Google Drive and documentation
  • Support light project coordination as needed

ONA Collateral & Brand Touchpoints

  • Oversee production and distribution of ONA merch (apparel, candles, etc.)
  • Coordinate with PAs and vendors on fulfillment and shipping
  • Ensure brand details are executed thoughtfully and on time

Team Support

  • Provide administrative support across the team as needed
  • Assist with scheduling, correspondence, and document management

WHAT YOU BRING

  • 4+ years proven experience as an executive assistant or administrative assistant, preferably in a creative agency or similar environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong written and oral skills with attention to detail and accuracy in handling administrative tasks, correspondence, and documentation.
  • Discretion and confidentiality in handling sensitive information and matters.
  • Proficiency in Google docs, sheets, monday.com, slack and other productivity tools, with the ability to learn new software and systems quickly.
  • Capacity to quickly adapt to changing priorities, deadlines, and environments in a fast-paced work environment.
  • Ability to work independently with minimal supervision and thrive in a fast-paced, dynamic work environment.
  • Proficiency in using productivity tools, software applications, and digital platforms to streamline workflows and enhance efficiency.
  • Proficient in Google docs, Keynote, monday.com, and Slack
