Neon Canvas is seeking a full-time Creative Project Coordinator to oversee the flow of work through our creative department. This role will work closely with the Director of Project Management, Creative Director, Account Managers, and creative team members to ensure creative requests move efficiently from intake to delivery.

Our ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment. They enjoy keeping projects moving, solving logistical challenges, and coordinating between clients and internal teams. This person will own the intake, scheduling, tracking, and delivery of creative requests while helping remove roadblocks that could delay project completion.

• Serve as the primary intake point for all creative requests, ensuring requests contain the necessary information, assets, approvals, specifications, and deadlines before entering the production queue.
• Review incoming requests for completeness and coordinate with Account Managers and clients to gather any missing information.
• Assign creative requests to the appropriate team members based on workload, specialty, project type, and client preferences.
• Maintain and manage the creative team's production schedule, balancing workloads and ensuring work is distributed efficiently across the department.
• Reprioritize and redistribute work as deadlines shift, urgent requests arise, or team availability changes.
• Develop and communicate estimated turnaround times for common creative request types.
• Track active creative requests and proactively identify projects that may be at risk of missing deadlines.
• Follow up with team members, clients, and Account Managers to remove blockers and keep projects moving forward.
• Serve as a point of contact for clients regarding creative timelines, requested assets, approvals, and outstanding information.
• Communicate creative project updates and timeline changes to internal stakeholders.
• Coordinate the delivery of completed creative assets to clients and internal teams.
• Maintain accurate project documentation, task assignments, and status updates within Asana.
• Support the adoption, maintenance, and continuous improvement of AI teammates and automation tools, confidently utilizing them to drive project outcomes.
• Escalate recurring bottlenecks, scheduling conflicts, resource constraints, and workflow concerns to leadership.
• Assist the Director of Project Management and Creative Director with special projects and operational initiatives as needed.

• 2-5 years of agency, marketing, project coordination, client services, or operations experience preferred.
• Understanding of common creative file types and their intended uses, including vector files, print-ready files, and web-optimized assets. Familiarity with when and why specific file formats are used for branding, print, digital, and production purposes is a plus.

$50,000 - $60,000 annually, based on experience.
