Job Description

Job Title: Community Engagement Coordinator

FLSA Status: Non-exempt, Full-Time (37.5 hrs/week)

Reports to: Development Director

The Backside Learning Center (BLC) is an independent, non-profit organization providing support and resources in a safe, welcoming environment to the diverse community of racetrack workers and their families. We are a non-traditional workplace, located in the heart of the stable area of Churchill Downs racetrack.

We are a small but mighty team-oriented organization that has grown significantly in recent years. We are located at the workplace of our adult clients, making us an integral part of the backside community. Many clients also live on the racetrack, making the backside feel like a small town. When you come to work each day, you are coming into a community (an added perk includes being able to walk out of your office and pet a horse or goat!).

Summary of Position

As a community-facing representative of BLC, this role serves as an ambassador for the organization—building connections, volunteerism, identifying partnership opportunities, and strengthening community awareness and engagement.

This position requires some evening hours (up to 8:00 pm) up to two evenings per week and occasional weekend availability for special events.

Primary Responsibilities 

Responsibilities include, but are not limited to:

Community Engagement and Coordination

·        Work with Development Director to create a strategic outreach plan to raiseawareness of the BLC’s mission and support programs within the Louisville community and horse racing industry.

·        Serve as the connector between Programs, Development, and Communications to ensure consistent messaging and engagement strategy.

·        Build and maintain trusted relationships with community & industry leaders, and informal community networks.

·        Identify and cultivate new partnerships that strengthen BLC’s network of supporters and collaborators.

·        Track and manage all partnerships, outreach efforts, and engagement activity in Salesforce Nonprofit Success Pack

·        Build and maintain pipelines for:

o  Volunteers

o  Community partners

o  Corporate engagement

·        Share engagement data with Development Team to identify trends, gaps, and growth opportunities. Provide clear information to potential partners about available opportunities for collaboration, group projects, and shared BLC initiatives.

·        Represent BLC at community events, fairs, and meetings to increase visibility and recruit volunteers, interns, and partners.

Volunteer Coordination

·        Work directly with the Programs & Services team to determine volunteer needs and communicate regularly regarding any changes in volunteer needs.

·        Work in collaboration with the Executive and Development Directors to coordinate opportunities for mission engagement with the Board of Directors.

·        Represent the BLC at community tabling events, or other community presentations, to recruit new volunteers.

·        With support from the Development Director, research, implement, and evaluate new innovative ideas in volunteer recruitment, retention, and recognition.

·        Collaborate with the Communications & Marketing team to strategically utilize the BLC’s social media platforms and website to reach diverse audiences for recruitment.

·        Receive, screen, and train new volunteers, communicating throughout the process in a timely manner.

·        Maintain and regularly update volunteer orientation materials and facilitate additional trainings as needed.

·        Record and track all volunteer information, onboarding process completion, and participation in Salesforce Nonprofit Success Pack.

·        Analyze volunteer data, feedback, and surveys to continuously strengthen and improve the volunteer program.

·        Serve as the primary point of contact for volunteers by maintaining regular communication, gathering feedback, addressing concerns, and supporting a positive volunteer experience.

·        Develop and implement an offboarding process that allows volunteers to transition out of roles or move into new opportunities within the BLC.

·        Plan and execute volunteer appreciation initiatives and recognition events that celebrate the contributions of BLC volunteers.

·        Support fundraising events by participating in planning meetings, recruiting volunteers, coordinating volunteer assignments, and managing volunteers on event days.

·        Oversee recruitment, onboarding, and orientation for BLC interns.

Education, Experience, and Skills Preferred

·        At least three years’ professional work experience in a similar environment or where skill sets are transferable (equivalent education/work experience also considered)

·        Strong people skills and ability to work with different personalities and individuals

·        Spanish language fluency strongly preferred (high advanced at a minimum)

·        Experience working with diverse populations and cultures

·        Excellent written, verbal communication and interpersonal skills

·        Self-motivated with strong organizational skills

·        Strong commitment to the mission of the BLC

·        Computer skills including Microsoft Office, email, internet navigation, Whatsapp, social media, and Salesforce or CRM equivalent

·        Must have reliable form of transportation and valid driver’s license

·        Ability to adapt to a fast-paced environment, prioritizing multiple tasks

Compensation

We offer a generous benefits package, along with a supportive environment, including:

·        Annual salary range: $43,000-$49,000 based on relevant experience and education, with potential annual increases based on funding availability.
