Job Description

Responsibilities

  • Brand Compliance, Editing, and Quality Assurance (QA) Review and edit print and digital materials for accuracy, writing style, accessibility, and adherence to brand standards. Conduct quality assurance reviews of marketing and communications materials prior to publication or distribution. Ensure compliance with university brand standards, editorial guidelines, and accessibility requirements. Review materials for consistency in messaging, tone, visual identity, and institutional positioning. Verify factual accuracy, formatting, links, dates, and contact information. Coordinate revisions and corrections with project stakeholders and content owners. Monitor brand compliance trends and identify opportunities to improve consistency and quality across institutional communications.
  • Production Coordination and Project Management Manage intake, timelines, routing, approvals, and delivery of marketing and communications projects. Maintain project schedules and monitor progress to ensure timely completion of deliverables. Coordinate production activities among communications, creative services, web services, vendors, and campus partners. Facilitate project kickoff meetings and gather content, specifications, and stakeholder feedback. Track project status and communicate milestones, deadlines, and expectations. Support print production, vendor coordination, and final delivery of materials. Track project volume, turnaround times, and milestone completion to ensure timely delivery of communications projects.
  • Brand Governance and Campus Guidance Serve as the primary resource for brand standards; provide guidance to campus partners. Maintain and distribute university brand guidelines, templates, and supporting resources. Consult with departments on the appropriate use of logos, visual identity, and institutional messaging. Review requests for exceptions to brand standards and provide recommendations. Promote consistent application of university branding across colleges, divisions, departments, and programs. Support efforts to reduce uncoordinated and inconsistent communications across campus.
  • Training and Education Develop and deliver training on brand standards, writing style, and communications best practices. Create educational materials, guides, and resources for campus communicators. Conduct workshops and one-on-one consultations on branding, editorial standards, and content development. Assist departments in understanding communications processes and project expectations. Support onboarding and training for new communicators and content contributors.
  • Workflow Optimization and Process Improvement Identify inefficiencies and improve processes to increase speed and reduce bottlenecks. Evaluate and refine project intake, approval, and production workflows. Develop and maintain documentation for communications processes and procedures. Recommend tools, systems, and best practices to improve operational efficiency. Monitor workflow performance and identify opportunities for continuous improvement. Analyze workflow performance metrics and implement improvements to increase efficiency, reduce bottlenecks, and enhance service delivery.
  • Content Updates and Support Assist with updates to print and digital content, including webpages and materials. Coordinate routine content updates across communications channels. Support content migration, maintenance, and quality assurance initiatives. Ensure consistency between print, web, social, and other communications platforms. Assist with special projects and institutional communications initiatives as assigned.

Requirements

  • Bachelor’s degree in communications, marketing, journalism, English, or a related field, or equivalent combination of education and professional experience
  • Demonstrated experience in editing, proofreading, and/or content review for accuracy and style
  • Experience managing projects, timelines, or production workflows in a professional setting
  • Strong writing, editing, and organizational skills
  • Ability to manage multiple projects, deadlines, and stakeholders
  • Experience collaborating with multiple stakeholders to coordinate projects, gather feedback, and achieve deadlines

Preferred

  • Experience working in higher education, marketing/communications, publishing, or a related field
  • Familiarity with brand standards, style guides (e.g., AP style), and editorial processes
  • Experience coordinating print production and/or digital content workflows
  • Experience developing training materials or leading workshops
  • Experience reviewing communications materials for brand consistency, editorial quality, and accessibility
  • Experience using project management or workflow management tools
  • Familiarity with content management systems (CMS) and web content updates
  • Understanding of accessibility standards for print and digital content
