The Assistant Community Manager reports to the Community Manager and/or Leasing Director and is responsible for providing administrative and clerical support to ensure the efficient, timely, and accurate processing of accounts within their portfolio. The ideal candidate will demonstrate strong organizational skills, exceptional attention to detail, and excellent communication abilities while supporting the daily operations of the community. 

Requirements

Responsibilities and Duties:

  • Assist in setting and achieving community sales and service goals by coaching and supporting leasing consultants. 
  • Support residents during the move-in process, lease renewals, move-out process and resident transfers
  • Conduct property tours and educate prospective residents on community features, amenities, and the surrounding neighborhood. 
  • Conduct market research and competitive analysis to stay informed of industry trends. 
  • Address and resolve resident concerns professionally to maintain high customer satisfaction and loyalty. 
  • Respond to resident and property management inquiries via email, phone, and in-person interactions. 
  • Plan and execute resident engagement events and activities. 
  • Assist and support customers with the resident portal, including account setup, management, and troubleshooting. 
  • Assist in developing budgets and implementation and/or monitoring of programs to maximize revenue and control expenses.
  • Manage new and renewal leases, working with third-party subsidy agencies as needed. 
  • Maintain compliance with federal, state, and local housing laws, including Fair Housing regulations. 
  • Process and review manual and electronic rent payments, ensuring accuracy and timely posting. 
  • Research and resolve payment and ledger discrepancies directly with residents. 
  • Execute final billing, apply apartment damage charges, and process monthly late fees. 
  • Handle escrow security deposits, refunds, and resident disputes related to move-out charges professionally. 
  • Provide monthly unpaid charge reports to the legal team to support rent demand actions. 
  • Support financial objectives through rent collection, billing, and reporting activities. 
  • Provide operational support for the Community Manager

Skills & Qualifications:

  • Minimum of 2-3 years of property management experience required.
  • Knowledge of Fair Housing regulations and compliance requirements.
  • Proficiency in Yardi Voyager, RentCafe, and SuiteSpot preferred.
  • Experience in payment processing, account reconciliation, and revenue management.
  • Strong attention to detail, problem-solving, and follow-through.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office with strong computer literacy.
  • Professional phone etiquette and customer service skills.
  • Must have a valid drivers’ license
  • Must be willing to work one weekend day a week.  
  • Bilingual proficiency and Notary Public certification are a plus.

Education:

  • High school diploma or equivalency (GED) required.
  • Bachelor’s degree is preferred
