Job Description

Responsibilities

  • Project Coordination: Support the planning and execution of multiple integrated content projects by building and maintaining project plans, timelines, milestones, deliverables, and dependencies. Coordinate with cross-functional partners, track progress, follow up on action items, and escalate risks or blockers to Lead and Senior Producers.
  • Asset Management: Organize and tag creative files, track version histories, and maintain shared drives and content libraries that support transparency, accessibility, and collaboration across teams.
  • Scheduling & Logistics: Coordinate project schedules, working sessions, reviews, approvals, and handoffs across teams. Maintain clear documentation of project status, decisions, action items, owners, and deadlines to support accountability and timely delivery.
  • Content Enablement: Format, upload, and publish content assets across SHRM’s digital channels in collaboration with DX, channel owners, and Marketing teams, aligning deliverables with audience targeting, campaign objectives, and KPIs.
  • Stakeholder Coordination: Serve as a day-to-day coordination point across Content, Creative, Brand, Marketing, DX, and channel teams. Route materials for review, gather feedback and approvals, communicate status updates, and ensure stakeholders understand upcoming milestones and responsibilities.
  • Quality Assurance: Review content deliverables for accuracy, formatting, and brand consistency prior to publication.
  • Webinar Operations: Support production and amplification of the Wednesday Webinar Series, coordinating topic-aligned follow-up communications and ensuring integration with ongoing content campaigns.
  • Reporting & Optimization: Compile post-campaign metrics, content performance data, and production insights to inform continuous improvement and data-driven decision-making.
  • Process Documentation & Project Tracking: Maintain accurate project documentation and systems, including timelines, owners, dependencies, status updates, decisions, and next steps. Capture best practices and contribute to workflow improvements while proactively identifying potential delays, missing inputs, or blockers and escalating them to Lead and Senior Producers as needed.

Requirements

  • 1–3 years of experience in project coordination or management for marketing, content production, or digital media.
  • Demonstrated ability to manage multiple concurrent projects and competing priorities with strong attention to detail and organizational follow-through.
  • Familiarity with project management and collaboration tools such as Monday.com, Slack, or similar platforms; comfort with AI-assisted workflows is a plus.
  • Basic understanding of digital content formats including social, video, web, and email.
  • Excellent written and verbal communication skills; a collaborative team player a collaborative team player who shares information clearly and in a timely manner.
  • Thrives in a fast-paced, high-volume environment where priorities shift and timelines compress — remains focused and effective without sacrificing quality.
  • Pivots quickly when project scope or direction changes, maintaining a positive, solutions-first attitude.
