  • Maintain templates, libraries, and sourced content to ensure consistency across pursuits.

Job Description

Own end-to-end pursuit and proposal workflow for a design firm, turning client RFQs into polished packages and presentations while coordinating stakeholders and external partners.

  • Responsibilities: Coordinate proposals, qualifications, interviews, and pursuit-related materials.
  • Responsibilities: Schedule proposal kickoffs and maintain pursuit schedules and deadlines.
  • Responsibilities: Coordinate information gathering with project teams and consultants.
  • Responsibilities: Develop and assemble proposal documents and supporting materials.
  • Responsibilities: Edit and format content for clarity, consistency, and compliance.
  • Responsibilities: Manage review cycles and incorporate feedback from firm leadership.
  • Responsibilities: Prepare and submit final proposal packages.
  • Responsibilities: Assist with the development of presentation materials and supporting content for interviews.
  • Responsibilities: Research and identify key sources for RFP/RFQ pursuits.
  • Responsibilities: Maintain project sheets, resumes, qualification packages, and marketing templates.
  • Requirements: 3 to 7 years of experience in AEC marketing, communications, or proposal coordination and writing.
  • Requirements: Exceptional writing, editing, and proofreading skills.
  • Requirements: Strong organizational and project management abilities.
  • Requirements: Ability to manage multiple deadlines and competing priorities.
  • Requirements: High attention to detail and commitment to quality.
  • Requirements: Proficiency in Adobe InDesign and Adobe Creative Suite.
  • Requirements: Significant experience with public sector RFQs and RFPs.
  • Preferred: Strong communicator and collaborator.
  • Preferred: Self-directed and proactive.
  • Preferred: Comfortable working with technical and creative professionals.
  • Preferred: Skilled at balancing multiple deadlines.
  • Preferred: Able to build relationships across project teams, clients, consultants, and external marketing partners.
  • Preferred: Ability to work flexible hours given the nature of marketing related deadlines.
  • Preferred: The ability to deliver proposals accurately, professionally, and on schedule.
  • Preferred: The ability to maintain current and well-organized marketing materials.
  • Preferred: Seamless communication between JA and consultants.
  • Preferred: Accurate and timely support across pursuits and initiatives.
