Job Summary

Own the on-site activation cadence by sourcing venues, forging partnerships, and negotiating spots that fit experiential goals, while keeping permitting, routing, and brand rights aligned with program needs.

  • Venue & Partnerships: Identify venues, evaluate opportunities, and build partner relationships to feed experiential programs.
  • Operations & Compliance: Lead contracting, permits, route planning, and on-site logistics with cross-team alignment.
  • Strategy & Pipeline: Maintain a live venue database, nurture a partner funnel, and share learnings to steer budgets and negotiations.

Job Description

Responsibilities

  • Identify and evaluate potential venues, events, and sponsorship opportunities (e.g., fairs, festivals, sporting venues, college campuses, retail centers, public spaces, etc.) aligned with experiential program objectives
  • Develop and maintain strong relationships with venue contacts, event organizers, sponsorship partners, city organizations, agencies, community boards, and business improvement districts (BIDs)
  • Lead negotiations with venues and event partners to secure optimal placement, pricing, and value-added opportunities (i.e. marketing promotion placements, ticket access, etc.) for our experiential activations
  • Manage end-to-end contracting process including reviewing terms, coordinating with legal, ensuring compliance with client requirements, and a clear outline of logistics, deliverables, branding rights, and operational expectations for the activation
  • Collaborate with internal teams (i.e. Client Services Lead, Production Lead, Staffing Lead) to align on venue and event selections based on program goals, tour routing, budgets, timelines, and program needs
  • Support program status calls (internal & external as needed) including owning meeting notes and next steps pertaining to your deliverables to move projects forward and flagging issues or changes as needed
  • Fine-tune on-site details including footprint, placement, access, power, permits, and operational requirements
  • Secure relevant permits including event, building and safety, fire, health, assembly, amplified sound, and more
  • Support business development efforts by contributing venue and sponsorship recommendations for pitches and proposals
  • Work closely with the Production Lead to develop and validate mobile tour routes ensuring all routing complies with DOT regulations, including vehicle restrictions, driver hours, and road limitations

Requirements

  • 2-5+ years of relevant experience
  • Bachelor’s degree
  • Strong written communication skills (formal & informal)
  • Proficiency in Microsoft Outlook and SharePoint and communication platforms (Microsoft Teams, Slack)
  • Exceptional project management and organizational skills with attention to detail
  • Proactive, strategic thinker who is comfortable leading conversations with vendor partners and brand partners
  • Willingness to roll up your sleeves on big projects and lead by example

  • Optimistic and realistic team player with a 'can do' attitude
