THE ROLE

The Systems and Automations Specialist supports the technology that runs Supreme Ecom. Working within the Operations team, you will maintain our CRM, build the automations that connect our platforms, and document our systems so the wider business can work efficiently and with confidence in its data.

The role suits someone early in their systems career who wants genuine ownership. You will be the first person the team comes to when a process should be automated or a platform isn't behaving, and you will have the Ops Manager's support in getting it done. What matters is a strong instinct for identifying manual work that shouldn't be manual, and the discipline to document what you build.

KEY RESPONSIBILITIES

CRM Maintenance & Data Hygeine

• Maintain the company CRM day to day — pipelines, fields, layouts, user access and permissions.
• Keep data clean: run regular audits for duplicates, missing fields and broken records, and fix what you find.
• Build and maintain reports and views requested by department heads.
• Support the team on CRM usage — answer questions, fix issues, and run short training sessions so people use it properly.
• Work with the Data Analyst to make sure the data feeding weekly dashboards and KPI tracking is accurate.

Automation Build & Maintenance Platform Support & Documentation

• Build automation workflows using Zapier, Make and native platform connectors to remove manual work.
• Monitor existing automations, catch failures early, and fix them before they affect the team.
• Implement and configure AI tools selected by the Ops Manager, including writing and refining the prompts they run on.
• Keep a live log of every automation running in the business — what it does, what it connects, and who depends on it.

Platform Support & Documentation

• Keep our tools connected and working — Zoho, ManyChat, Zapier and the wider stack.
• Raise and chase support tickets with platform vendors, and see them through to resolution.
• Write and maintain clear SOPs for every system and workflow you touch, so anyone can pick it up.
• Flag technical bottlenecks and recurring issues to the Ops Manager with a recommendation for fixing them.

Working With the Team

• Take system requests from Marketing, Operations, Affiliates, Sales and Consulting, clarify what is actually needed, and build it.
• Report to the Ops Manager with a weekly update on what you have built, what is broken, and what is queued.

REQUIREMENTS

• 1–3 years' experience in an operations, systems or automation role.
• Hands-on experience with a CRM (Zoho an advantage, not essential — we will train you on ours).
• Working knowledge of Zapier, Make or similar no-code automation tools.
• Experience using AI tools in a work setting.
• Strong documentation habits.
• Experience in e-commerce, digital education or a creator business is a plus.

• $60,000 annual salary plus monthly bonus potential
