Job Description

Open Position: Senior Financial Operations Specialist

Salary: $76,000-$100,000

About the role:

The Senior Financial Operations Specialist will play a critical role in supporting the day-to-day financial operations of the organization. This role is responsible for managing vendor setup, invoice processing, payments, and expense review, while ensuring accuracy, compliance, and efficiency across all financial workflows. This individual will also support month-end activities and contribute to improving financial processes as the company continues to scale.

Key Responsibilities:

  • Manage accounts payable processes, including vendor setup, invoice intake, coding, and payment processing.
  • Coordinate freelance and contractor payments, ensuring accuracy, proper documentation, and timely disbursement.
  • Review and reconcile company credit card transactions and employee expense submissions, ensuring compliance with company policies.
  • Maintain accurate records of all transactions and ensure proper documentation for audit and reporting purposes.
  • Support month-end close activities and assist with ad hoc requests as needed.
  • Partner cross-functionally with internal teams to resolve discrepancies and ensure smooth financial operations.
  • Identify process improvements to enhance efficiency, accuracy, and scalability of financial workflows.
  • Assist with preparation of monthly journal entries and maintain key balance sheet account reconciliations.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field preferred.
  • 3-5 years of experience in Accounts Payable, Accounting Operations, or Financial Operations.
  • Proficiency with Microsoft Excel.
  • Experience with invoice processing and expense management systems.
  • High attention to detail with strong analytical and problem-solving capabilities.
  • Proven ability to manage multiple high-priority tasks effectively.
  • Experience with an ERP system is preferred, ideally Workamajig, although experience with other ERP or agency management systems is equally valuable.
  • Excellent organizational skills, with the ability to communicate and collaborate effectively across cross-functional teams.
  • Experience working in advertising, healthcare or a Private Equity-backed company is highly desirable.
