Job Description

Responsibilities

  • Converts approved concepts and objectives into project briefs and plans defining scope, deliverables, milestones, dependencies, budgets, resource needs, and measures of success.
  • Manages assigned projects from planning through launch, implementation, and closeout. Establishes realistic schedules and tracks creative development, production, procurement, approvals, and execution against deadlines.
  • Coordinates project responsibilities with team leads, confirms owners and due dates, and identifies workload conflicts, staffing gaps, or vendor needs to recommend resource adjustments and priority decisions to Marketing leadership.
  • Maintains project boards in Monday.com or other approved systems, including accurate status, task ownership, schedules, dependencies, budgets, and supporting documentation.
  • Leads project check-ins, documents decisions and action items, follows up on commitments, and provides concise status reports. Escalates risks, missed milestones, and decisions requiring leadership action with recommended solutions.
  • Tracks scope changes and their effects on timing, resources, and cost; obtains required approvals and updates project plans before implementing changes.
  • Tracks requisitions, purchase orders, agreements, required documentation, and approvals to support timely vendor engagement. Identifies procurement lead times and potential delays during project planning.
  • Serves as the project contact for assigned agencies, consultants, production partners, and vendors to confirm responsibilities and schedules, monitor deliverables, and coordinate issue resolution.
  • Develops and maintains project budget trackers and consolidated spending reports showing approved budgets, commitments, purchase orders, invoices, actual expenditures, forecast costs, and available balances.
  • Maintains organized procurement and financial records for management review and audit support.

Requirements

  • Bachelor’s degree in Marketing, Communications, Business Administration, Public Administration, Project Management, or a related field, with five (5) years to seven (7) years of related experience managing marketing, advertising, experiential, or comparable projects in CPG, government or agency environment. Experience must include coordinating project schedules, vendors, and budgets.
  • This job requires mandatory in-office work.
  • Knowledge of project management methods, marketing and advertising workflows, creative production, experiential program delivery, and vendor management.
  • Knowledge of budgeting, purchasing documentation, invoice review, financial tracking, and records management; ability to learn and apply City procurement and approval procedures.
  • Skill in developing scopes of work, schedules, project briefs, status reports, and clear written communications; proficiency with Monday.com or comparable project management tools, spreadsheets, and presentation software.
  • Ability to manage multiple concurrent projects, anticipate dependencies, assess workload and resource needs, resolve problems, and adjust plans as priorities change.
  • Ability to lead through coordination and influence, hold project participants accountable for commitments, and collaborate effectively with creative teams, technical specialists, vendors, and airport stakeholders.
  • Ability to translate leadership direction into practical execution plans, exercise sound judgment, maintain accurate records, and communicate risks and recommendations promptly.
  • Attention to detail and ability to assess deliverables against approved briefs, brand standards, schedules, and budgets.

Preferred

  • Seven (7) years of project management experience supporting marketing campaigns, advertising, events, or experiential programs.
  • Experience with procurement, agency or vendor oversight, budget reconciliation, and Monday.com is preferred.
  • Experience coordinating work across multiple teams in an airport, public institution, or similarly complex environment is desirable.
