Job Summary

You will own day-to-day administrative and operational support across PR, VIP, and Influencer disciplines, driving event logistics, expense management, and reporting to keep programs on track.

  • Coordinate planning and execution of brand events, VIP activations, and related logistics.
  • Support VIP talent and guest logistics for tentpole events, travel, accommodations, itineraries, and press inquiries.

Job Description

Responsibilities

  • Provide day-to-day administrative and operational support across full department disciplines (PR, VIP, and Influencer), including invoice processing, expense tracking, document organization, and maintenance of departmental spreadsheets and trackers.
  • Support the planning and execution of brand events, VIP activations, and other departmental initiatives through detailed logistical coordination and administrative preparation.
  • Support the PR team with VIP talent and guest logistics for tentpole events, including travel coordination, transportation, accommodations, itineraries, and expense organization.
  • Maintain accurate records of event, talent, and departmental expenses, ensuring receipts, invoices, approvals, and supporting documentation are organized and submitted in a timely manner.
  • Execute image and asset requests, credit requests, PR gifting requests, and related press inquiries.
  • Assist with the preparation and maintenance of internal reporting, including press clippings, weekly recaps, coverage trackers, and general reports.
  • Provide general administrative support to the PR Managers and Senior Director of PR and VIP, managing multiple priorities with accuracy, discretion, and a strong sense of urgency.

Requirements

  • Recent graduate with relevant internship and/or 1 year work experience in luxury public relations preferred.
  • Demonstrated experience organizing expenses, invoices, budgets, spreadsheets, or other detailed administrative records.
  • Able to work outside normal business hours for events, activations, and other brand initiatives as needed.
  • Hyper-organized and detail-oriented, with the ability to manage multiple workstreams and work with agility in a fast-paced environment.
  • Strong written and verbal communication skills, with the ability to collaborate effectively across departments and with external partners in a non-siloed, non-hierarchical manner.
  • Proactive, resourceful, and comfortable supporting several team members and responding to shifting priorities with a can-do attitude.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
