Job Summary

Own bid coordination across the pursuits lifecycle with directors and managers while ensuring client-ready submissions and timely information flow.

  • Coordinate content for Arup’s bid and pitch documents with the MCBD team to strengthen messaging and quality.
  • Maintain CRM and bid-system data integrity and support pipeline reporting to keep internal stakeholders aligned.

Job Description

Responsibilities

  • Works with Bid Directors and Bid Managers throughout all stages of the pursuits process.
  • Supports bid coordination to deliver compelling, client-focused submissions.
  • Liaises with technical teams, schedulers, project managers and other contributors for timely receipt of information required to meet internal and external deadlines and priorities.
  • Coordinates content for Arup’s bid and pitch documents.
  • Works with MCBD contributors to support messaging and proposal quality.
  • Captures project win nuggets to share internally and with the broader MCBD team, promoting new wins as appropriate.
  • CRM and Systems: Uses CRM and bid systems throughout the bid lifecycle, supporting data integrity and pipeline reporting.
  • Market and Client Focus: Support client-facing activities including research to support positioning activities and input on presentations and interview prep.

Requirements

  • Degree, postgraduate qualification in Marketing, Communications, Business Development or other relevant qualification.
  • Certification with APMP desirable.
  • 3+ years’ relevant experience supporting pursuits and bids.
  • Experience of bid delivery at a local office geography scale.
  • Knowledge of AEC bidding and procurement methods.
  • Working with technical staff and marketing team to ensure proposal process is followed, and to ensure quality and consistency in all proposal/qualification documents.
  • Experience with CRM pipeline management and data management tools.
  • Be a valuable member of the firm’s professional team by maintaining and enhancing the culture and core values of Arup.
  • Strong skills in analysis and problem-solving.
  • Strong communication and interpersonal skills.
  • Proficiency in marketing and communications technologies such as Microsoft, PowerPoint and Adobe Creative Suite.
  • Experience working with brand guidelines.
  • Ability to work in a fast-paced, dynamic environment.
  • Strong time management skills.
  • Maintains collaborative working relationships with peers, leaders and other stakeholders.
  • High level of personal integrity, professionalism, and inclusive leadership. Commitment to Arup’s aims, including being a humane organization and maintaining quality of work.

Preferred

  • Certification with APMP desirable
