Own end-to-end project coordination for marketing and events, focusing on production calendars, collateral logistics, and cross-team communication to keep print and signage on time and in the right places.

  • Coordinate, schedule and track multiple communication projects simultaneously.
  • Identify opportunities to adjust and revise work processes to increase efficiency.
  • Serve as primary administrator of project management system (Basecamp).
  • Document job details and requests that are introduced and discussed in team meetings.
  • Proactively communicate potential problems to project teams and provide proposed solutions.
  • Proactively communicate any changes and updates to projects as they occur.
  • Create production calendars to effectively track jobs.
  • Coordinate printing, sign-off on approval proofs as necessary, verify print quantities and ensure timely delivery of materials.
  • Ensure all printed and produced collateral are delivered to correct locations and departments.
  • Coordinate material distribution and maintain brochure racks in partnership with Audience Services team.
  • Coordinate delivery of material requests from external partners.
  • Oversee material storage and tracks inventory.
  • Coordinate and maintain lobby and venue signage needs, overseeing production and installation of signage.
  • Coordinate marketing digital signage for Orchestra Hall.
  • Coordinate production and distribution of promotional items and signage for off-site community outreach events (Symphony for the Cities, Pride, etc.) working closely with Events Manager to determine needs for each event.
  • Support and implement subscription and single-ticket campaign tactics in alignment with revenue goals and marketing strategy at the direction of marketing leads.
  • Support grassroots marketing initiatives and identify opportunities to grow $20 under 40, Hall Pass and Choose Your Price ticket sales.
  • Coordinate cross-promotional partnerships to expand brand visibility and audience reach.
  • Create, manage and track all promo codes in collaboration with marketing leads and TSD staff.
  • Create and pull targeted lists from Tessitura for marketing campaigns as needed.

Requirements

  • Bachelor’s Degree in marketing/communications or related field, or the equivalent amount of training and hands-on experience sufficient to perform the essential functions of the position
  • 2-4 years marketing/communications/performing arts experience which includes a minimum of 1 year in a similar administrative or project coordinator role
  • Demonstrated ability to manage multiple projects simultaneously in a deadline-driven environment
  • Strong written and verbal communication skills with the ability to effectively present ideas and deliverables to internal stakeholders, external suppliers, vendors or other entities
  • Ability to collaborate with others to identify and solve issues or make proactive recommendations and lead through influence
  • Demonstrated enthusiasm for advancing the mission and values of the Minnesota Orchestra
  • Technology/Equipment:
    • Previous experience working with Basecamp or other project management software/platforms
    • Working knowledge of Tessitura or other CRM/ticketing systems
    • Intermediate knowledge of MS Office suite, especially Outlook, Word PowerPoint
