Job Summary

Own and optimize physician-facing email communications end to end, from drafting and calendar governance to inbox triage and performance reporting.

  • Own communications execution: translate technical inputs into clear clinician emails and urgent alerts, and triage inbox inquiries.
  • Governance and coupling: manage calendars, LCPR reviews, and distribution lists to ensure timely, compliant sends.
  • Measurement and optimization: analyze open rates and CTRs, delivering simple briefs that guide future sends.

Job Description

Responsibilities

  • Translate technical inputs (from release notes or product managers) into clear, error-free emails and alerts for clinical users.
  • Rapidly execute urgent communications during system outages or bugs, taking an approved message, formatting it, and getting it into users' hands immediately.
  • Diligently track the communications calendars, ensuring all planned updates are drafted and routed for approval well in advance of their send date.
  • Serve as a shared owner of our physician email inbox. You will triage inquiries, draft responses for review, and ensure no request falls through the cracks.
  • Own the routine analysis of email performance, tracking Open Rates, Click-Through Rates (CTR), and delivery metrics. Synthesize data into simple, actionable reports that help the team understand what is working and optimize future sends.
  • Develop and maintain project plans, organized documentation, version control, and distribution lists.
  • Shepherd content through the Legal, Compliance, and Regulatory (LCPR) review process, ensuring all feedback is incorporated before final send.
  • Performs other duties and responsibilities as assigned, including but not limited to, stepping in to support senior team leads by taking ownership of routine or overflow tasks-allowing them to focus on complex strategic initiatives.

Requirements

  • 3-5 years of experience in communications, marketing coordination, or related field.
  • Strong Writing Skills: You can take a bulleted list of facts or features and turn it into a clear, professional email for a doctor or a hospital executive.
  • Data Literacy: You are comfortable working with numbers and can explain what a "good" Open Rate looks like.
  • Execution Focus: You take pride in getting the job done right and on time. You are known for being reliable and responsive, while managing multiple projects
  • Tech-Savvy: Comfortable learning new platforms (email marketing tools, project management software) and managing distribution lists. Can quickly learn new platforms designed for project management, email marketing and teammate intranet.
  • Growth Mindset: You are naturally curious, embrace new challenges, and actively seek opportunities to learn, grow, and expand your skills.

Preferred

  • Experience with email marketing platforms (Acoustic, Mailchimp, etc.).
  • Familiarity with healthcare, technical or other highly regulated environments (comfortable with medical terminology).
  • Experience writing for B2B or executive audiences.
