Job Description

Responsibilities

  • Own end-to-end planning and execution for Reeco's trade shows, management company conferences, hosted executive events, and sponsorships
  • Manage all event logistics, including timelines, registrations, attendee lists, agendas, swag, shipping, booth setup, and on-site coordination
  • Build and maintain staffing plans and internal briefing materials for each event
  • Keep event materials, swag inventory, shipping details, timelines, and recaps organized and current
  • Coordinate with vendors and partners, including venues, booth vendors, shipping providers, caterers, sponsorship contacts, and swag suppliers
  • Manage event budgets, contracts, invoices, and deadlines — tracked accurately and reported clearly to internal stakeholders
  • Partner closely with Sales on event strategy, target account coordination, pre-event outreach, on-site support, and post-event follow-up
  • Build and execute event-driven campaigns in HubSpot: email invitations, reminders, landing pages, follow-up sequences, and internal briefing materials
  • Report on event performance, campaign engagement, attendee participation, and follow-up outcomes
  • Use AI tools to improve planning, communication, organization, and execution across the event program

Requirements

  • Based in Miami, FL
  • 3+ years of experience in B2B event marketing, field marketing, or marketing coordination
  • Demonstrated ability to manage multi-event calendars, vendor relationships, and cross-functional stakeholders simultaneously
  • Strong project management skills with the ability to manage multiple events, deadlines, and details at once
  • Strong written communication skills for event campaigns, outreach, follow-up, and internal updates
  • Experience collaborating with Sales or customer-facing teams on event planning, attendee coordination, and post-event follow-up
  • Experience managing vendors, budgets, timelines, and logistics
  • Familiarity with HubSpot or a comparable marketing automation platform
  • Comfort with project management tools and building systems that keep teams aligned

Preferred

  • Experience in hospitality tech, procurement, or a B2B industry with a field sales motion
  • Familiarity with the hospitality industry and key events such as HITEC, Hunter Conference, etc.
  • Genuine curiosity about AI tools and how to use them to work smarter and faster
  • Experience in a high-growth or startup environment
