Job Description

Responsibilities

  • Own and manage all scheduling-related matters for the President, including calendar coordination, meeting logistics, and prioritization of time-sensitive requests.
  • Support travel planning and execution, including booking, itinerary creation, and any on-the-ground logistics.
  • Assist with expense management, including timely submission and reconciliation of reports.
  • Monitor incoming reports from team for travel requests and expense approvals to ensure President handles in timely fashion.
  • Coordinate office logistics such as booking conference rooms, arranging visitor access/security, and setting up A/V and catering for meetings.
  • Provide general administrative support including email and phone coverage as well as ad-hoc tasks as needed.
  • Support special event coordination under the direction of President and their team, including logistics, catering, and guest list management.
  • Oversee inbox management for the President, ensuring timely follow-up and resolution of key action items.
  • Assist with notetaking during meetings and drafting follow-up communications where necessary.
  • Contribute to research and preparation of meeting materials when appropriate.

Requirements

  • Strong scheduling and calendar management experience, ideally supporting senior executives.
  • Excellent organizational and time management skills with the ability to multitask and meet deadlines.
  • High attention to detail and a proactive mindset.
  • Strong communication skills, both written and verbal.
  • Ability to work independently while staying closely aligned with the Lead EA.
  • Comfort working flexible hours, including occasional evenings or weekends.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with travel coordination and expense systems.
  • A collaborative spirit and solutions-oriented approach.

Preferred

  • Interest in entertainment, brand partnerships, or experiential marketing is a plus.
