Job Description

The Event Producer is responsible for leading the end‑to‑end production of experiential marketing programs and live events. This role blends creative problem‑solving, operational excellence, and client service to deliver seamless, impactful brand experiences. The Event Producer partners closely with internal creative, strategy, and account teams, as well as external vendors and talent, to bring concepts to life on time and on budget.

Key Responsibilities

Event Production & Execution

  • Leads the planning, production, and execution of live events, brand activations, pop-ups, tours, and experiential programs from concept through completion
  • Translates creative concepts into detailed production plans, budgets, timelines, and run‑of‑show documents
  • Oversees all on-site event operations, including load-in/load-out, rehearsals, show flow, and live execution

Project & Budget Management

  • Develops and manages detailed production budgets, tracks costs, reconciles expenses, and ensures financial accountability
  • Manages multiple projects simultaneously while meeting deadlines and maintaining high production standards
  • Proactively identifies risks and implements solutions to keep projects on track

Vendor & Partner Management

  • Sources, negotiates with, and manages vendors, including fabrication, AV, staging, staffing, venues, permits, and logistics partners
  • Acts as the primary point of contact for production vendors and on-site teams
  • Ensures vendors deliver to scope, quality, and budget expectations

Client & Internal Collaboration

  • Serves as a key production contact for clients, providing clear communication and confidence throughout the process
  • Collaborates with Account, Creative, Strategy, and Operations teams to align vision and execution
  • Supports client presentations, production decks, and post-event recaps

Compliance, Safety & Logistics

  • Secures permits and insurance and ensures compliance with local regulations and safety standards
  • Manages complex logistics, including shipping, freight, travel, and multi-city programs

Qualifications

Required

  • 4–7+ years of experience producing live events, experiential marketing programs, or brand activations
  • Strong understanding of event production, fabrication, AV, staging, and logistics
  • Proven experience managing production budgets and timelines
  • Exceptional organizational and communication skills
  • Ability to remain calm under pressure and solve problems in fast-paced environments
  • Willingness to travel and work non-traditional hours, including nights and weekends
  • Detail-oriented with a strong sense of ownership
  • Collaborative, proactive, and solutions-driven
  • Passionate about live experiences and culture
  • Comfortable balancing creative ambition with operational realities

Preferred

  • Agency-side experiential or activation experience
  • Experience with multi-market tours or large-scale consumer events
  • Familiarity with production documentation tools (Smartsheet, Google Workspace, Monday.com, etc.)
  • Knowledge of permitting and compliance processes in major U.S. markets
