TITLE: Events Manager

REPORTS TO: Director, Senior Director, or Managing Director

CLASSIFICATION: Exempt

HOURS: Project Based, this is not a full time or part time position

SUMMARY: Manages project report personnel, performing external services for client projects, and other external and internal duties as described.

EDUCATION:

  • Bachelor’s Degree in relatable industry or field recommended, but not required. Can substitute experience for education.

EXPERIENCE:

  • 4-6 years of experience in related industry: Events
  • Experience managing junior team members and vendors

DUTIES AND RESPONSIBILITIES – EXTERNAL:

EVENTS:

  • Participate in growing company business, maintain existing resources and relationships, and create and maintain resources and relationships by attending events, conferences, etc., and/or joining and participating in industry-related association(s)
  • Report to Senior Project Manager (if applicable) and Project Advisor (Event Senior Director + ) status updates of project
  • Manage all or part(s) of project aspects, planning, and execution including, but not limited to:
  • Provide general oversight, strategic guidance and consulting
  • Concept and creative development/design
  • Meetings, site visits, and conference calls both with client and internally
  • Budget management
  • Vendor management
  • Documentation
  • Internal process flow
  • Onsite management
  • Provide internal support to Senior Project Manager(s) ensure team and client success
  • Perform other duties as assigned

DUTIES AND RESPONSIBILITIES – INTERNAL:

FOCUS: Ownership, Mentorship, and Consistency

  • Attend all required internal trainings and team meetings to include but not limited to:
  • Monday Morning Meeting (MMM): reoccurring weekly meetings from 9:15am – 10:15am
  • *If you are project-based or part time, attendance for this meeting is required on the first Monday of the month
  • Monthly or Bi-Weekly Internal Department Meetings: Supervisor will elaborate on
  • Any other necessary trainings, discussions or meetings, as requested by Supervisor
  • Ensure team members attend required trainings and apply key learnings
  • Begin to help lead internal meetings and trainings or recap sessions for newer team members, as needed
  • Mentor Coordinators and Senior Coordinators in internal best practices
  • Contribute ideas to improve team processes, workflows, or communication
  • Take the lead on office-related initiatives (process documentation, vendor coordination, or logistics)
  • Support company morale by recognizing achievements and fostering teamwork
  • Demonstrate a positive attitude, professionalism and reliability to others
  • Report status updates to Project Manager(s) and Project Advisor
  • Perform other duties as required or assigned

SKILLS (REQUIRED):

  • Maintain high levels of productivity while overseeing and managing multiple internal and external tasks concurrently in a fast-paced, high-demand environment
  • Experience in maintaining both internal and external organizational processes to streamline effective productivity to include the ability to delegate, mentor, and manage team workloads
  • Confidence working independently with minimal supervision, as well as flexibility working alongside and within a team to deliver internal and external expectations together
  • Demonstrate the desire and initiative to grow company business, create and maintain resources and relationships, and maintain company reputation
  • Exceptional commitment to customer service, problem solving, and delivering success
  • Strong verbal and written communication, mathematical, critical thinking, exercising sound judgement, and significant attention to detail skills
  • Strong project and budget management capabilities
  • Technologically proficient, generally, as all as in Microsoft Office suite software (Outlook, Excel, Word, PowerPoint)
  • Physically able to execute project aspects including, but not limited to:
  • Standing/walking for potentially long periods of time
  • Exposure to various environments such as loud noises and weather conditions (heat, cold, rain)
