Position: Box Office Manager FLSA Classification: Full-time, Exempt Reports To: Chief Development & Marketing Officer About the Reno Philharmonic Founded in 1969, the Reno Philharmonic debuted its first public performance on August 3rd at the Pioneer Center for the Performing Arts. The Reno Phil has grown to become Northern Nevada’s largest performing arts organization, showcasing the talents of 60 to 95 professional musicians at each orchestra concert. Laura Jackson, Conductor and Music Director, is in her 16th season leading the orchestra, which, along with the Reno Phil’s youth orchestras and ensembles, presents almost 60 concerts annually to over 40,000 people. Committed to serving the community, the Reno Phil strives to reach under-resourced populations, including those living at or below the poverty line, people with disabilities, and BIPOC (Black, Indigenous, and People of Color) communities. To further strengthen and enrich the region, the Reno Phil collaborates with other arts and community groups. Each season Reno Phil regularly partners with nearly 20 local organizations to bring engaging programs and cultural experiences to the community, including A.V.A. Ballet Theatre, City of Reno, Greater Nevada Field, Lake Tahoe Shakespeare Festival, the University of Nevada, Reno, and Washoe County School District. Position Summary The Box Office Manager reports directly to the Chief Development & Marketing Officer. The Box Office Manager oversees all ticket and subscription sales, group sales, manages ticketing staff, and assists ticket buyers and patrons in a courteous, professional manner in-person, via email, and/or over the phone. The Box Office Manager serves as the primary customer service agent answering phones, selling tickets, and maintaining the CRM. The Box Office Manager also works closely with the marketing team to conduct program guide ad sales and trades. The Reno Phil seeks a candidate who is personable, cheerful, detailed, organized, and customer-service oriented. The Box Office Manager must be available to work on-site for all Reno Phil performances. Opportunity to work on-site in a challenging and rewarding work environment. Responsibilities Box Office Management * Manage subscription and single ticket sales for all RPA events. * Manage, train, and supervise staff/box office personnel in ticket sales and box office procedures. * Update and maintain all ticketing policies and procedures with industry standards. * Build and maintain all ticketable events in CRM (PatronManager). * Work with the Patron Experience Manager to set season pricing structure. * Actively work to hit budgetary goals on subscription and single ticket sales. * Seek out and facilitate group sale opportunities. * Produce financial reports on ticket sales. * Build and maintain PatronManager ticketing dashboards to reflect current ticket sales. * Maintain accurate customer records and accounting. * Complete patron transactions through PatronManager for incoming phone, email, mail, and in-person ticket orders. * Respond to patron inquiries and sales requests in a timely manner; make courtesy follow-up calls and emails to resolve issues and address other inquires. * In cooperation with the Marketing team, prepare mailing lists for brochures, letters, postcards, and * other solicitations using the reports feature in PatronManager. * Work with Marketing team on special ticketing promotions and sales. * Handle complaints and work to find a solution that satisfies the patron. * Ensure every patron interaction is a positive experience. CRM Management * Act as the system administrator for PatronManager. * Onboard new staff members to PatronManager. * Participate in webinars and use other tools to stay knowledgeable about updates and releases in PatronManager; conduct staff trainings on new release features when applicable. Admin, Sales & Marketing * Assist the Marketing team in conducting ad sales. * Help develop new community partnerships. * Work with Marketing team to populate event calendars on third party sites about upcoming concerts and events. * Handle and assist in a variety of administrative tasks, including answering a multi-line telephone, greeting and directing visitors, distributing mail, and ensuring voicemail recording is up to date and accurate. * Keep various office materials and distribution lists up to date. * Review and edit marketing materials. * Contribute to strategic planning and goals for department. * Attend weekly staff meeting. May be asked to report on current sales, trends, and other items related to the Box Office. * Attend appropriate Board committee meetings and take minutes as requested. * Attend and work all concerts and events conducted by the RPA. * Special projects as assigned. Knowledge, Skills, and Experience Requirements * Bachelor’s degree or equivalent experience. * 1-3 years of ticketing experience: preferably in the performing arts or music. * Excellent management skills. * Strong organizational and project management skills: ability to prioritize and manage multiple projects simultaneously and to work calmy under pressure and deadlines. * Excellent customer service skills. * Ability to make data-driven decisions. * Engaging and persuasive verbal and written communication skills. * Proficient at and comfortable with cash-handling and accounting. * Strong computer literacy skills including using Microsoft suite applications. * Experience with ticketing and CRM systems: PatronManager preferred. * Keen attention to detail preparing various reports, audits, and written materials. * Ability to work both independently and in a team environment. * Understanding and appreciation of music or a willingness to learn.
