We're growing fast — expanding our team, taking on more clients, and building out the internal systems that keep our creative engine running smoothly. We need an organized, people-oriented leader to help us scale.
The Role
We're hiring an Assistant Project Manager Co-op to help us recruit, onboard, and manage a growing roster of creative talent — editors, photographers, content creators, and social media coordinators. You'll be the operational backbone of our team: posting job listings, screening candidates, coordinating schedules, tracking project timelines, and making sure every deliverable ships on time and on budget. This role is built for someone who loves organizing people and processes as much as they love being in a creative environment.
📋 What You'll Do
👥 Recruiting & Hiring
• Write and post job descriptions for open creative roles (video editors, content creators, social media managers, photographers) across job boards, Handshake, LinkedIn, and Northeastern NUworks
• Screen applicants, review portfolios, and conduct first-round interviews to identify top candidates
• Coordinate and schedule interviews between candidates and the founding team
• Manage offer letters, onboarding paperwork, and new hire orientation logistics
• Build and maintain a talent pipeline and candidate tracking spreadsheet (ATS) for ongoing and future hiring needs
• Develop outreach to Boston-area university career centers and co-op coordinators to attract student talent
🗂️ Team Management & Coordination
• Onboard new hires: set up tool access, walk through workflows, assign first projects, and ensure a smooth ramp-up
• Serve as the primary point of contact for the creative team — field questions, resolve blockers, and escalate issues to leadership
• Assign tasks and manage workloads across editors, creators, and coordinators using project management tools (Notion, Asana, or ClickUp)
• Run weekly team check-ins: set agendas, take notes, track action items, and follow up on deliverables
• Monitor team capacity and flag potential bottlenecks before they impact client deadlines
• Support performance check-ins for co-ops and contractors — collect feedback, document progress, and identify top performers
🚀 Project & Operations Management
• Own the project tracker: maintain timelines, milestones, and delivery dates for all active client projects
• Coordinate cross-functional workflows between the creative team, client leads, and external contractors
• Draft SOPs (Standard Operating Procedures) for recurring processes: content handoffs, revision cycles, file naming, and asset delivery
• Track project budgets and flag scope creep or resource conflicts to the founding team
• Manage shared team calendars, content schedules, and shoot logistics for on-location productions around Boston
• Source and vet freelance vendors (voiceover artists, motion designers, translators) as project needs arise
📊 Reporting & Analytics
• Prepare weekly operations reports: team capacity, project status, hiring pipeline updates, and upcoming deadlines
• Build and maintain dashboards in Notion or Google Sheets to track headcount, project throughput, and team performance
• Identify inefficiencies in current workflows and propose process improvements to leadership
• Document team learnings, retrospectives, and best practices into a shared internal knowledge base
🌟 What We're Looking For
• Currently enrolled in or recently graduated from a Boston-area college, ideally studying business, management, communications, or a related field
• Highly organized with a strong attention to detail — you don't let things fall through the cracks
• Natural people person who can build rapport with creative team members and candidates alike
• Experience with project management tools such as Notion, Asana, ClickUp, Trello, or similar
• Comfortable managing multiple priorities simultaneously in a fast-paced, startup environment
• Strong written and verbal communication skills — you can write a clear job post, run a meeting, and send a follow-up email with equal ease
• Familiarity with Google Workspace (Docs, Sheets, Calendar) and Slack for team communication
• Self-starter mentality — you don't wait to be told what to do next
Bonus Skills
• Experience in recruiting, HR coordination, or talent sourcing (even informally)
• Familiarity with Handshake, LinkedIn Recruiter, or other candidate sourcing platforms
• Background in or exposure to creative industries (media, marketing, video production)
• Experience running or participating in a co-op or internship program
