Own end-to-end operations for client delivery, onboarding, and process documentation to keep projects on time and scalable.

Job Description

Responsibilities

  • Own the project management system for all active client accounts and internal CB projects.
  • Build and maintain project templates for every repeatable CB service: onboarding, content calendar builds, reporting cycles, QBR prep, and campaign launches.
  • Assign tasks, set deadlines, and track completion across the team -- flagging risks before they become fires.
  • Run the weekly team sync: prep the agenda, facilitate the meeting, capture action items, and follow up on every open blocker.
  • Ensure every client deliverable passes a quality check before it goes out the door. Quality control lives here.
  • Maintain a real-time project status dashboard so Savannah has full visibility without needing to ask.
  • Coordinate all logistics for new client onboarding: contracts, tool access, credential sharing, kickoff scheduling, and questionnaire delivery.
  • Build and manage the new client onboarding checklist -- no step is skipped, no client feels lost.
  • Set up client folders, shared drives, Slack channels, and communication structures within 24 hours of contract signing.
  • Brief the full team on every new client: brand overview, goals, timeline, primary contact, preferences, and any sensitivities.

Requirements

  • 3+ years in marketing agency operations, project management, or agency account management.
  • Expert-level proficiency in ClickUp, Asana, Monday.com, or an equivalent project management tool.
  • Strong command of Google Workspace: Docs, Sheets, Slides, Drive, and Calendar.
  • Demonstrated experience building SOPs and process documentation from scratch -- not just following existing ones.
  • Track record managing multiple concurrent client projects and meeting deadlines consistently.
  • Exceptional written and verbal communication -- this person makes complex things simple.

Preferred

  • Previous experience at a marketing or creative agency specifically.
  • Familiarity with HubSpot CRM, PandaDoc, HoneyBook, or Dubsado.
  • Experience with Zapier or other workflow automation tools.
  • Background working in B2B marketing or professional services environments.
  • Experience managing or coordinating a remote team.
