Job Description

Responsibilities

  • Planning and executing all domestic and international tradeshows including hotel room blocks, transportation, catering, booth services, utilities, and vendor coordination
  • Managing booth logistics including graphics, displays, parts displays, demo equipment requirements, demo memos, technical documentation, and collateral materials
  • Coordinating packing, shipping, tracking, unpacking, and proper post-show storage of all booth materials and event assets
  • Maintaining organized inventory of tradeshow materials, parts displays, and event equipment
  • Serving as on-site event support to ensure flawless execution and proactive problem resolution
  • Coordinating regional and corporate events at Mason Headquarters including industry events, distributor open houses, Lunch & Learns, and Experience Center (in-house webinar/podcast) events
  • Supporting Auburn Hills Technical Center events including Lunch & Learns, Tech Expo events, and Experience Center productions
  • Assisting with coordination of international and regional affiliate events (Tokyo, Singapore, etc.) including customer trips, product launch events, and regional marketing initiatives
  • Collaborating with Sales, Product Management, and Technical teams to ensure machine/demo readiness and customer experience excellence
  • Managing event budgets, tracking expenses, processing invoices, and reconciling final costs
  • Maintaining master event calendar and detailed project timelines for all marketing events
  • Providing post-event reporting including attendance, budget reconciliation, and performance summaries to the Director of Marketing
  • Producing clear and professional written correspondence for vendors, customers, and internal stakeholders
  • Ensuring all events reflect Makino’s premium brand standards and customer experience expectations

Requirements

  • 2 years of experience in event coordination, tradeshow management, or corporate event planning (B2B or manufacturing industry preferred)
  • Exceptional organizational and project management skills
  • Excellent communicator with strong written and verbal communication abilities
  • Highly detail-oriented with superior time management and multi-tasking capabilities
  • Ability to work effectively under pressure and adhere to tight deadlines
  • Strong problem-solving skills and professional presence
  • Proficiency in Microsoft Office Suite; CRM experience (Salesforce preferred)
  • Willingness to travel domestically and occasionally internationally
  • Ability to lift event materials (up to 40 lbs.) and stand for extended periods during events
  • 4-year degree required

Preferred

  • BA degree in marketing, communications, hospitality, business or related field preferred
  • Salesforce CRM experience preferred
  • Experience with large-scale events such as trade shows, customer entertainment and international events preferred
  • Experience in marketing software and databases a plus
