Job Summary

Own end-to end event management for multi client programs, coordinating sourcing, contracting, and logistics to deliver white glove experiences while juggling budgets and vendor ecosystems.

  • Event ownership and vendor coordination across RFPs, negotiations, and on site logistics
  • Budgeting and contracting: estimates, post event invoicing, and cost tracking
  • Client collaboration: align on location specs, site selection, travel blocks, and on site execution

Job Description

Responsibilities

  • Serve as Event Manager for variety of clients, ability to effectively prioritize
  • Serve in a support role for other client events, as needed
  • In collaboration with Sourcing team, work with client on location RFP, solicitation, negotiations, contracting and management
  • Manage vendor solicitation, RFP process, contract negotiations and management
  • Manage comprehensive event logistics in advance, on-site, and post-conference to include site selection, room sets, audio visual, food & beverage, décor, signage, etc.
  • Manage and coordinate all vendors and staff through comprehensive event resume to include logistical facets for hotel, convention center, and applicable vendors.
  • Evaluate and maintain event budgets against pre-set spending limits.
  • Provide clients with accurate budget estimates pre-event and ensure post-event billing reflects these estimates.
  • Maintain department files and historical documentation
  • Other duties as assigned.
  • All other duties as assigned

Requirements

  • 3-7 years of event experience
  • Experience in association or corporate markets and multi-client environment preferred
  • Exceptional organization skills and attention to detail
  • Experience and understanding of how to create event specs
  • Experience drafting and managing event budgets
  • Experience working in Cvent and/or Map Your Show, a plus
  • VIP customer service, ability to deliver white glove service
  • Travel: Approximately 20%, chiefly 4-5 day blocks of time
