Job Description

Responsibilities

  • Project Coordination & Workflow Management
  • - Support the execution of marketing projects from initiation through completion
  • - Coordinate campaign logistics across channels — including email, advertising, web, thought leadership, and social — ensuring that all workstreams are sequenced properly and aligned to campaign objectives
  • - Serve as an initial point of contact for incoming marketing requests from internal teams and stakeholders
  • - Review project requests to ensure objectives, timelines, and requirements are clearly defined
  • - Help assign and schedule projects to balance team workload and support priority alignment
  • - Track project timelines, deliverables, and next steps to ensure deadlines are met
  • - Maintain organized project documentation, including campaign calendars, briefs, timelines, status updates, meeting notes, and archived deliverables
  • - Support the coordination and management of distribution lists in Salesforce, including maintaining audience segmentation, ensuring list accuracy, and working across teams to keep contact data current and compliant
  • - Proactively communicate project updates, key milestones, and changes to stakeholders; manage expectations and escalate risks or delays as needed

Requirements

  • Bachelor’s degree in Marketing, Communications, Business, or a related field
  • 3–5 years of relevant experience in marketing, communications, project coordination, or a related field; financial services or professional services experience preferred
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines
  • Strong written and verbal communication skills, with the ability to work effectively across a wide range of stakeholders
  • Proficiency with project management and collaboration tools such as Asana, Monday.com, Microsoft Teams, and SharePoint
  • Proficiency with Salesforce or similar CMS platform to maintain and coordinate distribution lists
  • Self-starter with a proactive, solutions-oriented mindset
  • Ability to support marketing initiatives across both wealth and institutional segments
