Job Summary

Own cross-functional activation programs from kickoff to delivery, balancing calendars, budgets, and client-facing updates.

  • Activation & Planning: Own calendars, briefs, and status updates to keep brand programs on track.
  • Stakeholder & Communication: Manage notes, recaps, and alignment with internal teams, vendors, and clients.
  • Documentation & Governance: Track deliverables, approvals, and weekly status for leadership review.

Job Description

Responsibilities

  • Develop and maintain activation calendars/timelines to manage the flow of work and ensure all program components and deliverables are met on-time and on-budget
  • Create comprehensive meeting notes and recaps that can be shared with the client, internal team members, vendors, partners and staff to keep flow of work on track and all key stakeholders informed of upcoming next steps
  • Establish project requirements, priorities and deadlines and gain alignment with internal and external teams
  • Initiate all briefs for team with oversight from AD
  • Support AD in planning meetings, presentations, calls-notes, and status for Brand programs, as directed.
  • Maintain and track all relevant project documents such as signed deliverables, project status report/update to management and clients.
  • Lead weekly internal status meetings, maintain weekly client status documentation
  • Assist AD with managing budgets and processing client estimates and invoicing
  • Partner with production and creative services to ensure timely deliverables and clear communication of client/agency objectives
  • Compile research to showcase competitive brand activity

Requirements

  • Bachelor’s degree
  • 3+ years related experience
  • Determination, patience and persistence
  • Experience with on-site event marketing operations and logistics
  • Experience working with internal teams (account/creative/production) as well as other agency partners
  • “Get it done” attitude with attention to even the smallest detail
  • Ability to produce quality work under tight deadlines
  • Willingness to learn and ambition to grow within the agency
  • Extremely detail oriented with excellent organization skills and ability to multi-task
  • Excellent oral, written and interpersonal communication skills
  • A willingness and ability to travel (approximately 30%)
  • A passion for attending events and continuously learning about current lifestyle & culture trends
  • A willingness and ability to work in the office 1-2 days per week as needed (for client meetings and internal working sessions)
  • Strong computer skills

Nice to have

  • Foreign language skills a plus, but not required
  • Spirits experience a plus, but not required
