Job Description

Our office is more than just a workplace—it's where our team collaborates, celebrates wins, hosts clients, and builds the culture that makes Open Influence special.

We're looking for someone who takes genuine pride in creating exceptional experiences for others. You'll own the day-to-day operations of our New York office while helping shape the moments that bring our team together. Whether you're coordinating an office celebration, welcoming a new employee on their first day, planning events, solving an unexpected facilities issue, or making sure our kitchen is stocked with everyone's favorite snacks, you'll be the person who keeps everything running smoothly behind the scenes.

The ideal candidate is proactive, resourceful, and naturally thoughtful, noticing what needs attention before anyone asks.

WHO WE AREOpen Influence is a global, award-winning creator marketing company, providing premium, end-to-end creator marketing solutions. Since 2013, we have been pioneering the creator economy, executing social-first strategies for over 1,500 top brands—including Uber, Subaru, Coca-Cola, AT&T, and Disney. As a platform-agnostic and talent-agnostic partner, we connect brands with the right creators, on the right channels, to drive measurable impact and business growth.

We won’t bury the lead: success in this role requires a creative “free-range” mindset, paired with immaculate project management skills and attention to the finer details. We combine our passion for culture with an infectious commitment to driving meaningful results for our clients. Sure, every agency will have a ‘work hard, play harder’ environment. Our approach is: work smarter, play better.

A job description won’t do Open Influence’s company culture justice, but we’ll give you a snapshot in a few bullets.

  • We understand that culture starts at the top. Our management team has an ‘‘open door” policy at all times, and actively creates safe, inclusive spaces to connect, share, and strategize.
  • We recognize and celebrate each other’s wins, and pick each other up when we stumble (which, spoiler alert: we all do).
  • We aren’t afraid to look in the mirror. We continually learn, grow, and improve what we do and how we do it.

JOB DETAILS:

This is a part-time position (an average of 24 hours per week) with a 2-day per week onsite requirement in our New York office.

RESPONSIBILITIES:

  • Own the day-to-day employee experience in our New York office, ensuring our workspace is welcoming, organized, and operating at its best.
  • Manage office operations, supplies, equipment, and vendor relationships.
  • Keep shared spaces organized, functional, and stocked.
  • Welcome employees, clients, and visitors with warm hospitality.
  • Plan office celebrations, happy hours, quarterly events, birthdays, holiday parties, and other culture-building initiatives.
  • Partner with the People & Culture team to update and communicate office policies.
  • Coordinate vendors, maintenance, repairs, deliveries, and office improvements to ensure a safe, functional, and welcoming workplace.
  • Manage office communications and shared calendars.
  • Assist with new hire onboarding by ordering equipment and creating thoughtful first-day welcome experiences.
  • Continuously look for ways to improve our workplace—from office processes and vendor partnerships to employee experience and culture initiatives.
  • Infuse the office with positivity, warmth, and a strong sense of unity!

REQUIREMENTS & SKILLS:

  • 2+ years of experience in office management, workplace experience, human resources, facilities coordination, or administrative operations.
  • Comfortable working across Google Workspace, Microsoft Office, Slack, conference room scheduling software, and other workplace productivity tools.
  • Exceptional communication and organizational skills.
  • Able to work proactively and independently with minimal in-office oversight.
  • Strong problem-solving skills and exceptional attention to detail.
  • Comfortable setting up and troubleshooting office machinery (conference room TVs, printers, internet routers, coffee machines, etc.).
  • Professional and warm in interactions with staff and visitors.
  • Thrives in a fast-paced, ever-changing environment and adapts quickly to shifting priorities.
  • Proactively seeks opportunities to streamline workflows and improve day-to-day operations.

If you're someone who gets genuine satisfaction from creating exceptional workplaces, anticipating the needs of others, and bringing people together, we'd love to hear from you. Join us in building an office where people genuinely enjoy coming to work!

The expected compensation for this role is $45/hour.
