Job Description

The Old Globe seeks a highly organized and detail-oriented Full-Time Staging Our Future Campaign Coordinator to support a major fundraising campaign for a transformative reimagining of the Globe’s campus in Balboa Park, including the replacement of the outdoor Lowell Davies Festival Theatre and renovations to the plaza. This position plays a critical role in the planning, coordination, and administrative execution of campaign activities, providing essential administrative support to the Associate Director, Staging Our Future Campaign, Director of Philanthropy, senior leadership, Board members, and internal stakeholders.

The ideal candidate is proactive, discreet, and passionate about the performing arts, with strong administrative, communication, and project coordination skills.

Key Responsibilities include but are not limited to the following:

Campaign Administration & Coordination

  • Provide day-to-day administrative support for the campaign, including scheduling meetings, preparing agendas, and documenting notes and action items.
  • Coordinate logistics for campaign-related meetings, donor briefings, cultivation and stewardship events, and site visits.
  • Help track and manage campaign timelines, naming and recognition inventory, milestones, and deliverables to support on-time execution.

Donor & Prospect Support

  • Assist with donor and prospect tracking, including data entry, reporting, and updates in Tessitura, the Globe’s CRM system.
  • Support the preparation of donor materials such as proposals, pledge forms, briefing documents, and acknowledgment letters.
  • Maintain accurate and confidential campaign records, including gift documentation and correspondence.

Communications & Materials

  • Help draft and format campaign communications, presentations, and internal updates.
  • Coordinate the production and distribution of campaign materials in collaboration with Philanthropy and Marketing staff.
  • Ensure consistency and accuracy in campaign messaging and materials.

Volunteer & Stakeholder Support

  • Support campaign leadership, Board members, and volunteer committees with scheduling, materials preparation, and follow-up.
  • Serve as a point of contact for internal staff and external partners on campaign-related matters, as appropriate.

Event Support

·        Support campaign-related events from planning to execution with invitations, guest list development and tracking, name tags, vendor coordination, and day-of operations and follow-up strategies. 

General Support

  • Assist with budget tracking, expense reporting, and invoice processing related to campaign activities.
  • Perform other duties as assigned to support the success of the campaign.

Qualifications

Required

  • 2+ years of experience in administrative support, development, project coordination, or a related field
  • Exceptional organizational skills with strong attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Proficiency with Microsoft Office or Google Workspace; comfort working with databases/CRM systems
  • Ability to handle confidential information with discretion and professionalism

Preferred

  • Experience in fundraising, capital campaigns, or nonprofit development
  • Familiarity with performing arts organizations or cultural institutions
  • Experience supporting senior leaders, Boards, or volunteer committees

Schedule and Pay

  • Full-time schedule with evenings or weekends as needed for events

·        Hourly pay $30.00 - $35.00. This is a full-time position with benefits including 401(k) after first year employment.
