Job Description

Crawford Group (www.crawfordgroup.com) is seeking a Sr. Events Program Manager, AMER Lead to join our embedded event team supporting a global enterprise technology client. This role requires living in the Bay Area with the ability to come into the SF/Mountain View Office as business is needed. As a Crawford Group employee, you will be embedded with our client, serving as the SF regional lead and team lead backup for the global Workplace Events program.

This role is accountable for the SF/Mountain View regional event delivery and vendor coordination, while providing continuity and escalation support for the global program, with additional locations being added to the remit over time You will lead the end-to-end delivery of, workplace events across the region including office gatherings, offsite events, and innovation events for employees—and ensure follow-the-sun coverage in partnership with the global Team Lead based in Sydney.

We are looking for a hands-on event leader with strengths in event execution, project management and operational excellence, vendor coordination, and cross-time zone collaboration. This is a hybrid hands-on delivery and leadership role. The ideal candidate will come up to speed quickly and build strong trust with client stakeholders and the Crawford team.

Responsibilities:

Regional Leadership & Program Support

  • Serve as the SF/Mountain View regional lead, accountable for event delivery across this regions
  • Provide backup leadership and escalation support when the global Team Lead (Sydney) is offline or unavailable
  • Ensure follow-the-sun coverage and seamless handoffs between AMER and APAC/EMEA time zones
  • Support strategic planning, workflow intake, prioritization, and resource allocation for AMER events
  • Ensure consistent quality and brand standards across SF/Mountain View event delivery
  • Provide daily program updates and responses to team and stakeholders via Slack
  • Contribute to Monthly Program Reviews and Quarterly Business Reviews
  • Support business continuity plans and incident response protocols

Team Leadership & Management

  • Coordinate with the global Team Lead (Sydney) for cross-time-zone coverage, continuity, and escalation support
  • Participate in regular team check-ins,Support onboarding of new AMER team members in partnership with the Team Lead and Sr. Account Director when applicable
  • Support training and development of AMER event staff on client brand, culture, processes, and event technology
  • Manage, mentor, and coordinate AMER-based event professionals, including dedicated and flex resources, when applicable
  • Foster cross-training and knowledge sharing to ensure business continuity

Client Relationship & Strategy

  • Serve as a key contact for SF/MTV (and other AMER locations as required) client stakeholders, building trusted relationships at all levels
  • Provide strategic oversight of the SF/MTV (and other AMER locations as required) event portfolio across in-person, hybrid, and virtual formats
  • Contribute to events strategy and roadmap aligned with client priorities and objectives
  • Drive event strategy and creative ideation, bringing industry relevance and knowledge
  • Develop a strong working partnership with client Workplace teams for all internal event programs
  • Coordinate planning meetings with client internal Workplace teams across SF/Mountain View
  • Support QBRs, monthly check-ins, and reporting on budget adherence, SLAs, and KPIs

Program Governance & Operations

  • Accountable for SF/Mountain View program metrics, budgets, SLAs, KPIs, and quality standards
  • Support workflow/ticketing systems for event requests, approvals, and tracking
  • Identify gaps in processes and develop efficiencies
  • Ensure all events and vendor activities comply with client legal, privacy, and security requirements
  • Develop, maintain, and update event documentation, SOPs, playbooks, and knowledge base

Event Delivery (Hands-On)

  • Develop regional event briefs, project plans and budgets with approved vendor
  • Manage multiple concurrent projects while consistently delivering against critical milestones and deadlines
  • Drive event production schedules and production meetings with cross-organizational teams
  • Actively manage VIP-level employee-facing events and liaise between internal partners and external vendors for flawless event execution
  • Deliver in-person employee events including internal and external venue management, catering, AV/tech coordination, and on-site execution
  • Manage hybrid and virtual event formats via Zoom Webinar (client's virtual event platform)
  • Provide white glove experience, attention to detail, project management, and strong communications
  • Create and contribute to event program playbooks, ensuring processes are documented, updated and continuously improved. Manage and build registration t via Swoogo (client's registration platform), attendee communications, and feedback collection
  • Drive continuous improvement through post-event retrospectives and lessons learned integration

Financial Management

  • Manage SF/MTV event budgets and individual event budgets against benchmarks, client process and timelines
  • Raise vendor POs and track actual expenses against forecasts and ensure effective cost controls
  • Manage sourcing external venues and event vendors, when required, for contracts, invoices, and billing for approval and execution
  • Manage all contracted external vendors from pre-production through onsite execution to post-event wrap-up

Reporting & Continuous Improvement

  • Track and report on SLAs, KPIs, and program performance metrics for SF/MTV:
  • Gather feedback and event metrics such as attendance, estimated cost per person, and stakeholder satisfaction
  • Deliver post-event reports within established timelines
  • Conduct post-event debriefs, capture learnings, and drive continuous improvement

Requirements:

  • Senior-level employee event strategy and program/project manager with 7+ years of experience
  • Must be a people leader with 3+ years of team management experience
  • Proven enterprise experience
  • Demonstrated experience managing a diverse portfolio of in-person, hybrid, and virtual events at scale
  • Agency production experience. Experience with global enterprise employee-centered gatherings and events
  • Strong budget management, vendor management, and negotiation, and financial accountability skills
  • Excellent stakeholder management skills at senior/executive levels
  • Experience working across time zones with geographically distributed teams
  • Must be organized, detail-oriented, a self-starter, and proactive
  • Ability to work in a fast-paced, collaborative environment with a highly complex matrix
  • Ability to drive to tight deadlines

Preferred Qualifications:

  • A strong and responsive communicator who provides timely, clear, and thoughtful responses.
  • Digitally fluent and highly comfortable navigating technology platforms and collaboration tools.
  • Experience supporting highly produced enterprise events (agency production experience is a plus)
  • Experience with Swoogo registration platform
  • Experience managing virtual events via Zoom Webinar
  • Familiarity with products (Jira, Confluence, Slack and Trello)
  • Background or understanding in BPO or managed services delivery models
  • Highly collaborative, with a proven ability to build strong partnerships and work effectively across cross-functional teams, including AMER site teams.
  • Ability to thrive in a fast-paced, changing environment

Work Environment & Expectations:

  • US-based position - two-three days a week in client SF/MTN offices
  • Regular collaboration with global team across APAC and EMEA time zones
  • Some evening and early morning meetings to coordinate with Sydney-based Team Lead
  • Travel may be required for events across AMER region for coverage in (but not limited to): SEA, NY, UT
  • On-site presence required during major event execution periods

Location: Must reside in the Greater Bay Area with ability to report into SF Office

Duration: Full-time, ongoing engagement

Rate: $2700 - $3200 W-2 consultant of Crawford Group; benefits available (Our hourly ranges are determined based on skills, experience and location)
