Position Summary
The Senior Financial Analyst, Media Operations plays a key role in supporting the agency’s media operations infrastructure, MediaOcean workflows, and media financial processes. Working under the direction of the Associate Director, Media Finance, this position helps ensure that media estimates, budgets, commitments, actual media costs, invoicing, reconciliations, and reporting are accurate, timely, and consistently maintained.
The Senior Analyst supports day-to-day MediaOcean administration, operational execution, financial reporting, campaign financial management, implementation activities, documentation, and continuous process improvement. The role serves as an operational liaison among Finance, Media Strategy, Program Management, Operations, and external technology and media partners.
This position emphasizes operational excellence, financial accuracy, data integrity, timely follow-through, and consistent adherence to established agency processes, controls, and governance standards.
This position reports to the Associate Director, Media Finance, is based in New York City and requires a minimum of three days (Tuesday, Wednesday, and Thursday) per week in the office.
Primary Responsibilities
Media Financial Operations
- Maintain media estimates, budgets, commitments, planned spend, actual media costs, invoicing, reconciliations, and related financial information within MediaOcean while reviewing financial activity for completeness, accuracy, and consistency and following up on missing or inconsistent information.
- Prepare supporting schedules and recurring operational reports for monthly, quarterly, and year-end financial close activities, budget pacing, invoice processing, vendor activity, reconciliations, and financial reporting.
- Support Finance with forecasting, reconciliations, cost validation, financial reporting, and operational analysis.
- Research financial discrepancies and coordinate resolution with Finance, Media Strategy, Program Management, and external partners.
- Escalate material financial, billing, operational, or system issues requiring management review to the Associate Director.
MediaOcean Administration
- Support the day-to-day administration of MediaOcean, including user maintenance, onboarding, access permissions, workflow configuration, system support, and documentation.
- Support system testing, upgrades, releases, enhancements, implementation activities, and user acceptance testing coordinated by the Associate Director and internal stakeholders.
- Troubleshoot routine operational issues and coordinate resolution with internal teams, external technology partners, and MediaOcean support.
- Maintain system documentation, operating procedures, user guides, training materials, and recurring data quality reviews to ensure complete, accurate, and consistent campaign, vendor, budget, commitment, and actual cost information.
Workflow Coordination & Optimization
- Support implementation schedules, operational timelines, task tracking, and project coordination for MediaOcean initiatives.
- Coordinate assigned activities among Finance, Media Strategy, Program Management, Operations, IT, and external technology partners while supporting vendor onboarding, purchase order administration, workflow documentation, project setup, and operational coordination.
- Track project deliverables, approvals, dependencies, and outstanding activities while following established operating procedures.
- Maintain process documentation and recommend workflow improvements that enhance efficiency, consistency, and data quality.
Media Program Financial Support
- Maintain campaign estimates, budgets, commitments, actual spend, burn rates, cost-to-complete information, financial variances, and related campaign financial data within MediaOcean.
- Monitor campaign delivery, planned spend, actual spend, budget utilization, financial pacing, and operational trends while preparing recurring financial status reports, dashboards, reconciliations, and operational summaries.
- Support preparation of Statements of Work, media estimates, budget revisions, forecasts, and planning documentation while assisting with campaign setup, estimate maintenance, actual cost updates, invoice reconciliation, and budget management.
- Coordinate with internal teams and external partners to maintain complete, accurate, and timely financial records, including collection, organization, and validation of proof of performance documentation supporting invoice review and reconciliation.
- Escalate budget, billing, delivery, scope, or operational concerns to the Associate Director, as appropriate.
Cross Functional Support
- Support various departments on MediaOcean initiatives and operational projects.
- Assist with rollout of approved workflows, automation initiatives, system enhancements, and continuous process improvement efforts.
- Prepare recurring dashboards, key performance indicators, implementation status reports, and operational metrics while monitoring workflow compliance, data integrity, documentation quality, and adherence to established operating procedures.
- Identify recurring operational issues and recommend process improvements for management review.
- Perform other duties supporting MediaOcean administration, media operations, and media financial processes as assigned.
Qualifications
- Bachelor’s degree in Finance, Accounting, Business, or a related field.
- Approximately 4 to 6 years of experience in media operations, media finance, financial operations, or agency operations.
- Advertising agency or media agency experience strongly preferred.
- Experience with MediaOcean or a comparable media operations platform preferred.
- Strong understanding of media financial workflows, budgeting, reconciliations, invoicing, reporting, operational processes, and financial controls.
- Strong Microsoft Excel skills and comfort working with detailed financial and operational data.
- Strong analytical, organizational, problem-solving, communication, and relationship management skills.
- Demonstrated ability to resolve discrepancies, manage competing priorities, follow through on incomplete information, and communicate effectively across Finance, Media Strategy, Program Management, Operations, and external partners.
- Ability to work independently within established procedures while recognizing when issues require escalation.
- Ability to thrive in a fast-paced, collaborative, and growth-oriented agency environment.
