Resourcing Manager

Location: Remote, operating within a time zone supportive of Creative Riff’s core business hours (between Eastern and Pacific U.S.), with flexibility to work occasional weekends dependent on project needs

Compensation: $80,000 – $95,000 annually, based on experience • Full-time • Exempt

POSITION OVERVIEW

Creative Riff creates immersive, world-building experiences for entertainment IPs and brands. Delivering that work across multiple concurrent programs depends on having the right people on the right projects at the right time, supported by operational systems that make staffing decisions visible, deliberate, and financially sound.

The Resourcing Manager owns that system. This role forecasts and manages team capacity, staffs projects and pitches across Client Services, Creative, and Production, and builds the freelance network that lets Creative Riff flex with program volume. It also carries the people operations that surround staffing, including recruiting, contracting, onboarding, and offboarding, ensuring the operational experience of working with Creative Riff matches the quality of the work itself.

CORE RESPONSIBILITIES

Resource Forecasting & Capacity Management

• Maintain resource forecasting accuracy on an ongoing basis, giving leadership reliable visibility into upcoming staffing needs.
• Manage the daily and weekly resourcing schedule across teams.
• Monitor workloads and proactively identify resourcing gaps, bottlenecks, and scheduling conflicts.
• Balance freelance and full-time resources against forecast, budget, and profitability targets.

Project Staffing & Workflow Coordination

• Allocate resources based on skills, experience, availability, project requirements, and team capacity.
• Coordinate intake and prioritization of incoming requests; adjust timelines and assignments in real time as priorities shift.
• Partner with Client Services, Production, and Creative leads, including the Heads of Production, to ensure pitches and projects are properly staffed and on track.
• Escalate risks, delays, or resource constraints proactively to leadership.

Talent Acquisition

• Lead full cycle recruiting for employees and freelancers.
• Partner with leaders on hiring plans and workforce needs.
• Fill critical roles quickly with exceptional talent.

Freelance Network & Talent Management

• Build and maintain a high-quality freelance network across Client Services, Creative, and Production.
• Negotiate freelance rates and contracts; manage compliance documentation, such as employment verification for I9’s and W9s.
• Evaluate freelancer performance and maintain talent databases.

People Operations & Employee Experience

• Manage contracting and invoicing for freelancers, ensuring agreements align with project scope and budget.
• Manage onboarding and offboarding for employees and freelancers.
• Foster an exceptional employee and freelancer experience from sourcing through onboarding and offboarding.

Systems, Reporting & Operational Support

• Own and maintain resource planning and project management tools (Runn, Asana) as the shared source of truth for staffing across the company.
• Generate resource utilization and workflow reports for leadership; run the weekly resourcing meeting.
• Monitor skills and certifications by role with team leadership.
• Help optimize workflows and processes, contributing to scalable operational systems across all teams.

• Employee & Freelancer Experience: seamless operational experience from sourcing through onboarding and offboarding.

QUALIFICATIONS

Required

• 2–5+ years of experience in resource management, traffic management, creative operations, project coordination, or production.
• Experience within a creative agency, marketing, production, or creative services environment.
• Experience with resource forecasting and utilization reporting.
• Proficiency with project management and scheduling tools; strong Microsoft Office and/or Google Workspace skills.
• Exceptional organizational and multitasking skills with strong attention to detail.
• Excellent communication and stakeholder management skills; ability to problem-solve quickly as priorities shift.

Preferred

• Experience coordinating multidisciplinary creative teams.
• Familiarity with production timelines for experiential projects, digital, print, video.
• Understanding of agency workflow and creative production processes.
• Experience with Runn (or similar resource planning platforms) and Asana.

REPORTING & COLLABORATION

• Cross-Functional Partners: Client Services, Creative, Production leadership, Finance, and the Executive Team.
• Serves as the central communication hub for resource management across departments.
