Overview

The Wisconsin Foundation and Alumni Association (WFAA)*, the private fundraising and alumni relations organization for UW-Madison, is recruiting for an Engagement Program Specialist. The Program Engagement Specialist supports the execution of programs and activities which engage alumni and friends and connect them to the university and each other. This role will play a crucial part in the Wisconsin Alumni Association’s’ volunteer program in the division of Alumni Relations & Engagement. This position will report to the Director of Regional Relations and Volunteer Management and will provide a range of customer service, operational, and administrative support to the team, constituents, and various project teams. This is a hybrid position and will require working from the office located at 650 N. Lake Street, Madison, WI, 53706

Responsibilities
Program support and administration
  • Utilize organizational, administrative policies, processes, and technology tools.
  • Learn and comfortably use customer relations management (CRM) database and event registration tool to support program delivery.
  • Participate with managers and project teams in the research, design, development, and implementation of program activities.
  • Identify process improvement and lead the improvements when appropriate.
  • Attend, participate in, or facilitate planning meetings and provide support for meeting-related communications.
  • Manage input from online engagement portals.
  • Attend project meetings, document proceedings and compile and distribute notes.
  • Maintain consistent communication with project team members regarding project tasks and progress.
  • Serve as a contact and facilitator for alumni volunteers, committees, and boards related to projects.
  • Compile and report on data related to projects and alumni engagement.
  • Work collaboratively with teams to review and sign off on marketing pieces for events and programs; lead sign off on assigned programs.
  • Track and perform analysis of program and team metrics
Campus Relations
  • Participate, when appropriate, in cross-campus functional teams as a representative of the WAA chapter team.
  • Work with campus offices as needed to support alumni group scholarships programs.
Constituent Relations
  • Build and maintain positive relationships with campus and community colleagues and work collaboratively to advance university objectives.
  • Provide exceptional customer service to internal and external clients.
  • Respond promptly and courteously to inquiries from internal and external constituents, taking the initiative to seek information and resolution.
  • Seek feedback and participation from alumni and donors in the design and development of engagement activities.
  • Lead communications with appropriate stakeholders regarding plans and preparation for events.
Qualifications
Required Qualifications:
  • Bachelor’s degree is preferred or equivalent combination of education and work experience.
  • 1+ year(s) professional work experience.
Other Qualifications:
  • 1+ year(s)' experience in customer/visitor/volunteer services and environments.
  • Familiarity with constituent and/or registration databases.
  • Proficient in Microsoft Office (Outlook, Word, PowerPoint, and Excel) essential.
  • Excellent oral and written skills and strong planning, organization, and administrative skills.
  • Ability to effectively interact with internal and external clients and constituents of diverse backgrounds.
  • Ability to work independently as well as collaborate positively within a team environment.
  • Ability to take initiative, demonstrate engagement in projects and meet deadlines.
  • Ability to prioritize and manage multiple tasks and maintain a high degree of discretion, tact, poise, professionalism, and diplomacy.
  • Ability to lift up to 30 lbs.
  • Ability to work evenings and weekends.
